DESCRIPTION

Serve as official point-of-contact for the Center for Wireless Communications (CWC). Provide high level administrative support to the Director of CWC, performing a wide range of duties that require tact, independent judgment, diplomacy, attention to detail, organizational skills, and discretion to advance the mission of the Center. Responsible for coordinating, scheduling, and calendaring industry appointments, meetings and workshops, developing and preparing technical and non-technical correspondence, presentation materials, and reports.

Coordinate high-profile events for CWC, including site visits, research reviews, and workshops. Plan and follow through with entire event coordination process; prepare planning budget for all costs and review post-event costs for accuracy; arrange venue; order catering and A/V services; and coordinate travel arrangements. Prepare and process all event related transactions and reimbursements.

QUALIFICATIONS
  • Demonstrated experience providing high level administrative support in a corporate or academic setting.

  • Demonstrated experience in scheduling, organizing, and coordinating seminars, meetings and special events.

  • Experience preparing and processing travel, purchasing, and disbursement requests.

  • Experience managing a complex calendar.

  • Strong computer skills, including understanding of and proven ability using various applications such as MS Word, Outlook, Excel, Powerpoint, Adobe Acrobat, Google Docs,Google Sheets, G-mail, and internet browsers.

  • Skill in conceptualizing, planning and organizing events and projects.

  • Excellent verbal and written communication skills. Ability to communicate effectively both in written and oral form with students, staff, faculty and other diverse groups of people.

  • Demonstrated ability to exercise good judgment for problem solving; analytical skills and ability to anticipate problems, recommend solutions and implement action.

  • Demonstrated ability to establish new procedures for operations. Ability to analyze diverse needs, material and/or issues to facilitate ordering the elements into logical and organizational structural processes and procedures.

  • Ability to analyze complex situations and data and develop clear and concise written/oral reports or recommendations, especially when no clear directives are provided and/or there are many possible solutions.

  • Good organizational and time management skills; proven ability to set priorities which accurately reflect the relative importance of job responsibilities; and take into account deadlines, competing requirements and complexity.

  • Ability to work independently and effectively with modest supervision and to exercise good judgment.

  • Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and ability to make recommendations or decisions that affect Center's operations and activities.

  • Demonstrated ability to function efficiently and productively as a team member with all the interpersonal skills required to build and maintain cooperative working relationships with a variety of individuals, campus units, and industry contacts.

  • Demonstrated ability to organize workload, set priorities, meet frequent deadlines, and work independently and effectively under pressure/constant interruptions. Proven ability to manage a large volume of detailed work.

  • Ability to work with little supervision and with initiative, including aptitude to repeat routine tasks without reminders.

SPECIAL CONDITIONS
  • Job offer is contingent on clear Background Check.

  • Occasional evenings and weekends may be required.

  • Overtime may be required.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
