A Day In The Life The Field Operations Coordinator under the leadership of the VP, Sales Operations will support multiple disciplines while providing insightful analysis and managing a diverse range of decision-making responsibilities. The Field Operations Coordinator will be responsible for building relationships with the Sales Operations team and providing analysis and reporting support. This role will provide high-level support to the VP, Sales Operations, VP, Fixed Operations VP, Government Relations, and VP, Internal Operations to ensure they can efficiently accomplish key tasks and company initiatives. The Field Operations Coordinator will be required to handle complex situations and multiple responsibilities while simultaneously mixing long-term projects with the urgency of immediate demands of GST sales operations. As a Field Ops Coordinator you will:
- FIELD OPERATIONS * Develop and deploy reports using BI tools such as Tableau. * Work in conjunction with the Sales Operations Specialist to leverage BI tools and analytics to identify, prioritize, and visualize data and reports to create meaningful insights and recommendations for the field team to assist dealers. * Act as the ambassador of the Field Operations culture. * Act as a point of contact for the hiring manager and new associate as they acclimate to Field Operations.
- This role will support the new associate with the following activities: * Welcoming new associates * Coordinating any pre-hire activities and schedules * Requesting IT access to departmental files * Ensuring new associates have access to Workout, Staff Master, Dealer Daily, Box.com and the TMNA app if applicable
- Support the Sales Operations team when necessary, handling reporting tasks and acting as a point of contact with the Field Team.
- Act as the point of contact between the executives and internal/external client. * Undertake the tasks of receiving calls, taking messages and routing correspondence.
- GOVERNMENT RELATIONS * Responsible for managing and maintaining accurate and timely schedules, coordinating appointments, and handling travel arrangements. * Communicate in writing and verbally with political candidates, agency personnel, and government officials and their respective staff. * Assist in research projects and documentation. * Assist in event planning and coordination. * Prepare information packets for elected officials as directed.
- * Responsible for providing support for material preparation and internal meetings, as needed. * Prepare and edit correspondence, communications, presentations, and other documents, conduct research, and assemble and analyze data to prepare reports and documents as requested. * Coordinate and organize meetings as needed; as well as team-building events. * Responsible for managing and maintaining schedules, appointments, and travel arrangements as requested, as well as, arranging and coordinating meetings and events. Compile and reconcile travel charges. * Provide general administrative support, inclusive of such duties as
- Meet and greet visitors; answer, screen, and place phone calls.
- Prepare and process invoices and similar paperwork.
- Copy and scan materials. Mail and e-mail paperwork.
- Compose, format, and type routine correspondence.
- Prepare mailings, including overnight and certified mail, and all dealer mailouts.
- Assist in the preparation of reports and presentations.
- Update dealer database and tracking spreadsheets.
- Proofread documents.
- Assist with special projects.
- Safeguard confidential and proprietary information and materials.
- Organize, maintain, and safeguard files and databases.
- Prioritize or highlight incoming documents to aid the leaders.
- Route correspondence to correct associates.
- As authorized, ensure outgoing documents are accurate, comply with company policies, and reflect the leader's views.
- Responsibly receive, transmit, and handle consumer and customer data per applicable policies and procedures. *
- Review and follow data privacy practices, policies, and guidelines.
What We Need From You
- Associate's Degree Pref
- 1-3 years related experience and/or training; or equivalent combination of education and experience.
- Demonstrate initiative, leadership, team building, action planning, and superior organization and coordination skills.
