The Contracts & Clinical Placement Coordinator specializes in managing Clinical Affiliation Agreements essential for the operation of clinical programs. This role serves as the liaison between the university and clinical sites, ensuring that contracts are executed and remain active to support the educational needs of students and faculty. This role will also support DNP student onboarding and identifying new clinical placement sites across all programs.

Duties & Responsibilities:

Contract Management

Contract Liaison:
  • Collaborate closely with the University Contracts Office to execute and re-execute Clinical Affiliation Agreements.
  • Provide ongoing support throughout the execution process to keep all parties involved and up to date.

Contract Management:
  • Collaborate with internal stakeholders to confirm that new and existing clinical sites meet program requirements before initiating or renewing contracts.
  • Proactively manage all clinical affiliation contracts to ensure they are active and meet university standards and requirements.
  • Review and evaluate expiring agreements for upcoming renewal, incorporating feedback from Program Directors/Specialty Directors.
  • Utilize the Tableau system or other dashboard to maintain and update College of Nursing's contract records visible to key stakeholders.

Insurance and Risk Management:
  • Facilitate and process Certificate of Insurance requests between current students/alumni & Risk Management team.

Reporting
  • Prepare and submit detailed reports on the status of contracts to the appropriate personnel to ensure they are executed in a timely manner before the onboarding of faculty and students.

Clinical Coordinator Support & Onboarding:

Placement Requests and Onboarding:
  • Provide prelicensure clinical placement coordination support.
  • Collaborate with DNP Specialty Directors to manage and track myCE/CastleBranch requests and onboarding requirements for DNP students as required by specified clinical sites.
  • Provide DNP students with comprehensive onboarding checklists, process, and track onboarding requirements for specific sites.
  • Provide Typhon support, including maintain updated records of clinical sites and preceptors.

Collaboration:
  • Work with the Compliance and Prelicensure Onboarding Coordinator and Clinical Education Coordinator to keep records of onboarding requirements for each clinical site updated and maintain regular updates of onboarding checklists for students and faculty.

Reporting:
  • Report new compliance requirements identified in affiliation agreements to Clinical Education Coordinator as needed.

Clinical Partnership Engagement And Expansion:

Clinical Partner Engagement:
  • Foster and maintain strong, collaborative relationships with existing clinical partners to support and potentially expand student placement opportunities.
  • Proactively identify and implement initiatives to strengthen communication and engagement with affiliate partners (e.g., organizing a clinical partner appreciation or networking event).

Clinical Partnership Expansion:
  • In collaboration with program directors, regional campus directors, and DNP specialty directors, identify and secure new clinical sites, establishing affiliation agreements across all programs and specialties.
  • Generate new clinical site leads and conduct timely follow-up on referrals or recommendations provided by UIC Nursing directors or faculty to expand placement opportunities.

Other Responsibilities:
  • Maintain consistent and professional stakeholder communication (program directors, regional campus directors, DNP Specialty Directors, and other key stakeholders) to support clinical site engagement, identify partnership opportunities, and ensure alignment with program needs.
  • Participates in all work projects and committees applicable to contracts, compliance, risk management, privacy, security, and other groups
  • Serves as a resource to academic advisors related to clinical placement/compliance issues.
  • Assist with UIC Nursing events, as needed (ex. commencement, orientation, career fair, etc.)
  • Other duties/projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree.
  2. A total of one (1) year (12 months) demonstrated experience in managing clinical partnerships. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications:
  • Experience with healthcare education, student clinical placement or coordination of clinical training strongly preferred.
