Elevate your career as an Office Coordinator I and become the heartbeat of our dynamic team! In this exciting role, you'll create a welcoming and efficient office environment, greeting and assisting visitors with warmth and professionalism. You'll be pivotal in maintaining office facilities, supporting event planning, and providing exceptional concierge services. Collaborating with various departments, you'll ensure a seamless and world-class experience for employees and visitors. This position will be filled to work onsite at the Jack Henry Monett, MO office location.

This position will have a salary range of $33,571 -$38,000 based on experience and location.

What you'll be responsible for:

  • Warmly greets visitors with a smile, proactively engaging to determine needs, manages visitor sign-in logs, issues security badges, arranges escorts as needed, and ensures proper sign-out procedures.
  • Ensures location is tidy and presentable, coordinating with other departments on areas needing attention.
  • Maintains stock of office supply inventory, purchasing items within budget, and distributing appropriately.
  • Proactively schedules vendors to ensure completion of on-site services within project timelines.
  • Records detailed equipment logs, specifically model, serial number, and vendor, for inventory management.
  • Receives, sorts, and distributes inbound and outbound mail and packages.
  • Supports the organization, coordination and schedules of on-site Meetings/Events.
  • Participates in cross-team collaboration under guidance.
  • Begins to understand concierge services, providing basic support, and learning from more experienced colleagues. Focuses on gaining knowledge and applying it under supervision.
  • Begins understanding floor plans and assists with basic tasks related to conference room assignment and office hoteling. Provides support under close supervision, focusing on learning and applying knowledge.
  • Assists in creating experiences that reflect company culture. Focuses on learning how to maintain high Host Satisfaction scores by supporting more experienced team members and applying basic skills under close supervision.
  • Adheres to all concierge policies, processes, and procedures.
  • Maximizes efficiency in task management through the effective user request systems and Microsoft Office.
  • Streamlines efficient correspondence, ensuring prompt and professional responses.
  • Efficiently assists with the processing and fulfillment of supply requests from individuals and locations.
  • Keeps detailed records and promptly submits expense reports within established timeline.
  • Strategically executes errands to minimize downtime, including items such as meals, supplies, and mail.
  • Provides backup support to the Office Experience Coordinators as needed or requested.
  • Maintains a professional and courteous demeanor, fostering a positive atmosphere in all interactions.
  • Perform other duties as assigned.

What you'll need to have:

  • Must have 6 months of customer service work experience in the retail or hospitality industry.
  • Must be able to demonstrate strong organizational and communication skills.
  • Must have solid interpersonal skills in being able to cross-collaborate with Jack Henry customers.
