Description

Position Summary: To provide all HR team members critical support in daily administrative functions and project work, while providing improvements and efficiencies in day-to-day operations, all while maintaining strict confidentiality requirements.

This role is primarily to support the administrative needs of the recruitment and onboarding process and to administer the education reimbursement and bonus award program to benefit eligible employees.


Essential Duties and Responsibilities:

  • Support Talent Acquisition by preparing and organizing job descriptions, coordinating candidate interviews and running and monitoring background checks. In addition, this position will assist with other recruitment related tasks/projects as needed.
  • Coordinate the onboarding process for new hires, ensuring a seamless transition into the organization. Maintains constant communication with candidates on their onboarding process and paperwork until completion.
  • Handle onboarding tasks including pre-boarding process, I9 processing, scheduling new hire orientations. Coordinate all onboarding needs including any ID card appointments as well as notifications to IT for equipment needs and set up.
  • Update documents and checklists related to onboarding.
  • Set up new users on Gradifi and Paycom Learning.
  • Process all tuition reimbursement and certification rewards in accordance with the Company's Education Reimbursement Policy.
  • Reconcile headcount report with periodic updates to Org Chart when requested.
  • Run annual MVR reports on all employees assigned a company vehicle.
  • Follow up with employees on outstanding HR related work, like document acknowledgement.
  • Order employee company business cards.
  • Assist with charity event planning and activities.
  • Review and provide information for employee newsletters.
  • Participates in special projects and performs additional duties as required.

Qualifications
Education and Experience:

  • High school diploma required.
  • 5 years in an administrative support role required, with a minimum of 2 years experience handling confidential information.
  • 2 years experience working with an HCM, preferably Paycom.
  • Excellent organizational skills and attention to detail.
  • Proficiency in office 365 required. Demonstrated experience utilizing Excel preferred.

  • Proactive minded with a willingness to assist beyond the scope the responsibilities.


Other Requirements:

  • Able to work in the NYC office on an as needed basis, particularly on Mondays.


The salary range for this role is$41,100 - $69,800. The listed annual salary range posted for this position is subject to change and may vary depending on performance, education, experience, skills, geographic location, travel requirements, demonstrated proficiency in the competencies required for the role and business needs. Base pay is just one component of GNY's total compensation package for employees. Other rewards include eligibility for an annual discretionary bonus based on performance.
