Job Description

General Summary:

Vertex is seeking a talented administrative professional to join our US Diabetes Team, supporting our aspirations of bringing multiple potentially transformative cell therapies to people living with Type 1 Diabetes (T1D).

The Senior Administrative Assistant will report to the VP of the T1D Business Unit in the US, and provide support to the broader T1D commercial leadership team. This includes support that will span the Sr. Director+ levels in addition to departmental coordination, administrative, and team responsibilities. This role is mission-critical to the BU success, creating a high-performing team, and shaping our team culture.

Key Duties and Responsibilities:

  • Proactively manages calendars for assigned personnel, including meeting scheduling (both internal and off-site meetings), accepting/declining invites, meeting prioritization

  • Secures conference rooms, orders catering when needed, and provides "day-of" logistical and administrative support

  • Organizes logistics and events for the assigned teams (off-site, workshops, team events)

  • Coordinates visitor registration, including pre-registering and escorting visitors

  • Provides vendor communications, and updates

  • Supports travel logistics including sourcing/booking flights/hotels

  • Completes all expense reports for assigned team members in a timely fashion and per company policy

  • Coordinates and disseminates meeting materials, meeting notes, and action items

  • Performs various supporting tasks such as creating/amending/formatting documents/presentations in Word, Excel or PowerPoint, etc.

  • Submits purchase orders, amendments and changes on behalf of team working in partnership with the Commercial Contracting team and Procurement

  • Serves as a departmental resource for the assigned teams for Vertex's internal technologies (i.e; Outlook, Teams, iProcurement, Concur, vNet, Vertex U, etc.)

  • Assists with the onboarding of new personnel during a period of rapid growth

  • Supports special projects, team wide programs, and BU culture initiatives

Knowledge and Skills:

  • Proficient in Microsoft Office suite, including Outlook Calendars

  • Team player with a track record of developing rapport and credibility with colleagues

  • Keen attention to detail with ability to proactively identify, communicate and address challenges

  • Developed time management skills and organizational skills to prioritize work and/or multi-task; autonomously managing multiple projects and competing timelines

  • Discretion to handle sensitive and confidential correspondence

  • Proven experience working in a fast-paced environment

  • Excellent verbal and written communication skills, proactively shares key project updates and insights

  • Exceptional interpersonal skills across all levels and across matrixed teams

  • Consistently displays sound ethics, good judgment

Education and Experience:

  • High school diploma required; Bachelor degree preferred

  • 3+ years of administrative experience, or the equivalent combination of education and experience

Pay Range:

$38 - $58

Disclosure Statement:

The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements. Actual base salary pay will be based on a number of factors, including skills, competencies, experience, and other job-related factors permitted by law.

In this Hybrid-Eligible role, you can choose to be designated as:
1. Hybrid: work remotely up to two days per week; or select
2. On-Site: work five days per week on-site with ad hoc flexibility.
