Position Summary:

The purpose of this position is to provide administrative support to the National Facilities and Fleet Manager. This role will partner with other departments within Benco and outside vendors to help coordinate facilities and building maintenance projects, maintain required PM's, and the current company owned and leased vehicle fleet.

  • Ability to coordinate multiple projects




Do These Responsibilities Interest YOU?




  • Coordinate all moves, adds and change activities within Benco facilities



  • Organize and maintain all facilities and vendor contracts, contact information, PM schedules, and all other required documentation



  • Perform required follow-up on all projects and RFP's



  • Maintaining databases related to GPS, insurance and driver information



  • Complete vehicle make and model and vehicle equipment procurement decisions that must satisfy both Finance and Service department requirements



  • Audit fuel, maintenance and mileage transactions for accuracy and compliance



  • Research and arrange personal vehicle purchases for ownership



  • Report new claims and manage existing claims to closure



  • Facilitate the internal collection of requires claim information and data



  • Maintain partnership with accident management company and insurance carrier to continue seamless sharing of data for physical damage and liability components of each claim



  • Identify safety trends, issues and areas of improvement



  • Monitor the work order system to ensure jobs are assigned and completed timely



  • Track and submit vendor invoicing and check requests



  • Coordinates travel arrangements for National Facilities Manager and Facilities Technician



  • Prepares and submits all travel expense reports



  • Assign and track JIRA requests/work orders





Do YOU Meet These Requirements?





  • High School Diploma or GED required; Associate's Degree preferred






  • 1-3 years of administrative support experience
