GENERAL FUNCTION

The Administrative Assistant acts as a role model for other administrative support staff by demonstrating consistent high-level performance and maintaining the utmost professional demeanor and highest level of confidentiality and trust.

MAJOR DUTIES AND RESPONSIBILITIES



  • Provides administrative support to the full Operations team
  • Complete all required daily, weekly, and monthly reports for the Operations group
  • Maintain weekly and monthly labor reports, including hours worked in each department
  • Maintain accurate reporting of headcount, including organization charts for the location
  • Orders and maintains office supplies
  • Manages purchases for special events
  • Put together standup meeting notes for daily presentations for each shift and department
  • Maintain invoices to submit for approval
  • Complete oracle/ordering system orders and/or investigations
  • Complete special orders for the lab
  • Complete SAP orders
  • Complete Benchmarking reporting for lab operations
  • Maintain the list of accidents for reporting internally and externally
  • Assist Supervisors with Kronos issues as they arise, ensuring the timeline completion of payroll activities for the lab
  • Assist employees with Kronos issues or questions as they arise
  • Maintain a list of locker assignments, and prepare locker assignments for new employees
  • Pull Paid invoices for auditing as needed
  • Oversee schedule for all conference/meeting rooms to ensure no overlap, and resources are being used as needed
  • Maintain lists of employees for milestones, scheduling meetings as appropriate
  • Schedule employees for milestone/birthday meetings, working with Supervisors for scheduling
  • Review monthly inventories to submit to Finance
  • Organizes and prioritizes daily administrative responsibilities.
  • Tends to office needs and oversees activities to ensure seamless functioning and decorum of work environment.
  • Proactively engages with supervisors to ensure that the administrative needs for the operations are seen to
  • Attends/Facilitates check in round tables with employed associates, takes notes, and sends out notes/comments at the conclusion of the meetings
  • Drafts correspondence as necessary and produces error-free and grammatically correct documents.
  • Is strongly proficient with computer software systems and applications with strong emphasis on PowerPoint, Access and Excel. Prepares great PowerPoint presentations, typically to illustrate company KPIs, financial data and operational processes.
  • Demonstrates strong communication skills in answering the phone, screening information and accurately distributing and forwarding messages.
  • Meets with and orientates new starts to ensure they are aware of policies and procedures
  • Anticipates and follows up on requests and issues with a proactive, problem-solving approach.
  • Organizes and maintains operations files and sensitive information.
  • May conduct drug screens
  • Greet and register guests to the facility
  • Manage vendor relationships


BASIC QUALIFICATIONS



  • High School Diploma or GED
  • Previous experience working in a fast-paced environment minimum 1 year
  • Ability to communicate clearly and concisely
  • Ability to prioritize, maintain organization and meet strict deadlines
  • Reliable in attendance and punctuality, including breaks and lunch period
  • PowerPoint and Access Database experience
  • High proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Strong communication skills, verbal and written


PREFERRED QUALIFICATIONS



  • Kronos experience preferred
