In this role, you will be responsible for handling a wide range of administrative and executive support-related tasks and works independently with little or no supervision. Manage the day-to-day business activities of Upper-Level Senior Leadership as assigned. This position works in a fast-paced environment, sometimes under pressure while remaining flexible, proactive, resourceful, and efficient.

Job Responsibilities

    Sets priorities and develops procedures to accomplish tasks within deadlines, ensuring efficient coordination and follow-through.
  • Prepares, reviews, and edits high-level documents, presentations, and reports, including financial, statistical, legal, or technical data.
  • Independently manages and coordinates senior leadership's complex schedules, ensuring alignment with business priorities.
  • Creates professional presentations using PowerPoint or other software for internal and external meetings.
  • Drafts and signs routine and complex correspondence, ensuring professional communication in all interactions.
  • Conducts in-depth research and gathers detailed information to support senior leadership's decision-making.
  • Handles and safeguards sensitive and confidential information, ensuring discretion and compliance.
  • Prepares and processes expense reports, budgets, and financial documents for senior leadership.
  • Reviews and approves timecards and expense reports, ensuring accuracy and compliance.
  • Manages complex travel itineraries for senior leadership, ensuring smooth logistics.
  • Supports senior leadership in the hiring process, including interview coordination and onboarding.
  • Provides training to junior staff, enhancing team performance and mentoring administrative personnel.
  • Plans and coordinates offsite meetings, conferences, and special events.
  • Acts as the primary point of contact for high-level external stakeholders, maintaining professional relationships.
  • Represents senior leadership in meetings, conferences, and events as needed.
  • Works with various departments to ensure smooth execution of initiatives and facilitates communication.
  • Assists with other duties as assigned within designated department.
  • Travel as required.

Education/Experience:

  • High school diploma required; some college or applicable business certification preferred. A minimum of 5-7 years of relevant experience

  • Perform mathematical calculations (fractions, decimals, percentages, statistical) as needed.
  • Demonstrate competency in Microsoft Word, including PowerPoint; Prolog if applicable.

  • High level of professionalism, discretion and confidentiality.

Environmental Factors and/or Physical Requirements:

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
