The Chief of Staff plays a critical role in supporting the CEO, functioning as a liaison between them, executive leadership, and stakeholders in the external environment. They are responsible for overseeing the CEO's daily operational needs, ensuring effective coordination of cross-functional teams, delivery of strategic projects and facilitating communication. The Chief of Staff must be a proactive, strategic, insightful, organized, and detail-oriented individual who can thrive in a fast-paced complex environment. They should be able to bring a strategic mindset to problem solving, exercise good judgment, prioritize competing tasks and maintain a high level of professionalism and executive presence when interacting with all levels of staff and external stakeholders. Shifts Available: Salaried Full Time Status Position at 40 Hours per Week. Monday - Friday, 8:00am - 5:00pm Expected starting wage range is $177,455.49 - $219,149.66. Telecare applies geographic differentials to its pay ranges. The pay range assigned to this role will be based on the geographic location from which the role is performed. Starting pay is commensurate with relevant experience above the minimum requirements. QUALIFICATIONS Required: * Bachelor's degree in Business Administration, Project Management, Analytics or a related field. * Three (3) years' experience in a Chief of Staff role, consultative leadership, strategic consulting, project management, or operations in healthcare or a similarly regulated field. * Demonstrated ability to manage complex projects and competing priorities in a fast-paced, matrix-style organization including experience in handling cross-departmental initiatives and influencing organizational change. * Willingness and ability to work on-site at our corporate office in Alameda, CA during regular business hours, with occasional travel as required to support the CEO. * Advanced proficiency in Microsoft Suite, project and data management tools, and virtual collaboration platforms. * Must be at least 18 years of age. * All opportunities at Telecare are contingent upon successful completion and receipt of acceptable results of the applicable post-offer physical examination, 2-step PPD test for tuberculosis, acceptable criminal background clearances, excluded party sanctions, and degree or license verification. If the position requires driving, a valid driver license, a motor vehicle clearance and proof of auto insurance is required at time of employment and must be maintained throughout employment. Additional regulatory, contractual or local requirements may apply. Preferred: * Advanced degree in business or health care-related field (e.g., MHA, MBA). * Experience in behavioral healthcare, healthcare services, or a similar clinical environment. * Experience overseeing budgets and expenses and developing internal processes and business plans. * Experience coordinating and aligning internal and external resources to achieve goals and meet deadlines. * Experience with board and external communications. ESSENTIAL FUNCTIONS * Demonstrate the Telecare mission, purpose, values and beliefs in everyday language and contact with the internal and external stakeholders. * Duties and responsibilities may be added, deleted and/or changed at the discretion of management. Executive Office Planning and Integrator for Chief Executive Officer (CEO) * Responsible for advising, overseeing, and collaborating on strategic projects including acting as a gatekeeper for the CEO and prioritizing events, workflows, routine supervision meetings, and projects for the EA to ensure the CEO's time is focused on strategic initiatives. * Prepare materials for strategically important meetings, including agendas and collateral. Attend meetings as the CEO's representative, capturing minutes, and following up on action items from those meetings. * Provide high-level administrative support to the CEO, including synchronizing complex schedules, prioritizing short and long-term tasks, and facilitating an effective document management system. Provide guidance to the CEO's executive assistant (EA) on scheduling. * Integrate workload across the CEO's commitments, the organization's needs, personal needs, and external activities. Enable the CEO to effectively focus on high priority tasks and activities. * Ensure the CEO has easy access to essential information by structuring document management systems and technology tools in collaboration with appropriate internal resources. Management and coordination of internal and external strategic initiatives. * Lead special projects, such as conferences and policy development, as assigned by the CEO, coordinating resources and managing timelines to ensure successful execution. * Represent the CEO in external meetings and ongoing projects that advance Telecare's advocacy work with external stakeholder groups, including government, public policy, and associations. * Support the strategic planning process by collaborating with the SVP team and the VP of Strategic Initiatives. Track and follow up on milestones, driving communications that allow for integrated thinking and decision making by identifying cross functional implications. Ensure documents are updated and integrated. * Monitor and participate in ensuring progress on rollout of company-wide initiatives, ensuring that leaders are informed and engaged. Collaborate with project managers and owners to identify and propose remedies for gaps. Communications and PR Support * Enhance the image and brand of the office of the CEO by collaborating with internal and external resources to respond to external inquiries to the CEO. * Act as a point person on Telecare's plans to enhance its image and influence. Ensure the CEO's voice is reflected in communications. * Anticipate and participate in the development of responses to emerging local or national coverage that impacts Telecare's work. Coordinate and oversee project specific litigation support: * Act as a liaison and facilitator on behalf of the CEO to track activities related to Telecare's legal actions and deadlines for the specific litigation. * Monitor the communications flow and PR support needed for major legal activities. Governance, Financial and Board Level Process Support: * Support the CEO in monitoring key KPIs, risks, and data analytics to support strategic decision making. * Review board packets and meeting schedules on behalf of the CEO, providing input to EA on materials and topics. * Support the CEO and Board Chair in ensuring board level projects are on track including the review of policies and committee functions such as compensation and incentive pay. * Assist in identifying and preparing strategic topics for board discussions and input in collaboration with appropriate staff. * Liaise with HR, finance, operations, and other departments to ensure that the CEO has the necessary information for board discussions and decision-making. Family Office Support * Facilitate and assist with the management of various family office related activities including asset management, fiduciary responsibilities and philanthropy. Coordinate the necessary resources to ensure progress. * Collaborate with EA to coordinate advisors and calendars, ensuring progress on family office work. Confidentiality: * Handle sensitive information with the utmost discretion, maintaining confidentiality in all matters related to the CEO and company operations. * Anticipate the CEO's needs for information on evolving issues and proactively raise issues before they escalate. SKILLS * Capable of anticipating and identifying challenges and implementing effective solutions in a time-sensitive manner. Comfortable working in an evolving environment where flexibility and quick thinking are critical. * High degree of emotional intelligence, facilitation skills, discretion, and demonstrated professionalism when handling confidential information. * Excellent verbal and written communication skills, with the ability to convey complex information clearly and professionally. * Ability to lead projects and collaboratively drive results, without supervisory authority, while serving as a representative of the CEO's and Telecare's vision and values. * Strong capability to develop and execute plans for the CEO's key activities, projects and objectives. * Highly proficient in Microsoft Office Suite including Outlook, Excel, PowerPoint and Word. PHYSICAL DEMANDS The physical demands here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to walk, stand, bend, twist, reach, lift and carry items weighing 10 pounds or less and do simple grasping occasionally. Frequently sit and occasionally drive.
