ABOUT THE ROLE:
NCSL is seeking an individual to provide administrative staff support for the State Services Division in our Denver office. This division includes the Fiscal Affairs Program,the Legislative Training Institute,and the Legislative Staff Services Program. You will work with a dedicated team of individuals whose work spans a variety of issues central to the mission of the organization. The division has a culture of teamwork and is committed to supporting legislators and legislative staff and the institutions in which they serve.
This positioncoordinatesadministrative duties and responsibilities to supportprogram operations.A Program Coordinator independently performsgeneral office and program support, event organization, travel, purchasing,expense tracking, data entry and retrieval, web contentupdates, and file tracking and managementwith minimal supervision.Responsibilities may alsoincludesupporting budget and grant administration and expense tracking.The Program Coordinatorreportsto thedirectorof theprogram, while also handling assigned functions from other professional project staff in theprogram.
In this nonpartisan and non-advocacy role, your responsibilities will include attending weekly team meetings, performing association database searches and research, taking minutes of meetings, maintaining membership rosters, scheduling meetings for programming work, printing and shipping, attending organizational trainings, processing expenses reports, document formatting and editing, meeting prep (printing, assembling materials, shipping) for meetings across the departments, design flyers, and other duties as assigned.
WHAT YOU'LL DO:
- Performsa variety ofclerical tasksindependentlyfor the program, including word processing, editing, creating graphics, formatting, posting, and distributing various publications.
- Leadsthemeeting planningfor the program, including invitation clearanceswith the Leaders Center, correspondencewith our members, logistics, site planning, travel arrangements, communication with participants, virtual and on-site support functions, and expense-report processing.
- Responsible for updating and coordinating themaintenance of content on NCSL.org, including assisting with the development of project databases and other collections.
- Provides exemplarymember service, including managinginbound and outbound communications with members.
- Acts asaliaison for members, vendors, and internal and external individuals and organizations.
- Promotesand supportsin-person and online meetings and webinarswith staff.
- May compile budget and expense documents and assist in the preparation of proposals and reports, including the use of online external systems. This may include assisting the directors with budgets for grant applications in Excel.
- Trains staff on organizational processes and computer applications.
- Compiles, drafts, and generates program or project status reports.
- Performs other responsibilities as needed.

THE WORK ENVIRONMENT: This full-time position is mostly performed in an office environment, on or off-site, with prolonged periods of sitting at a desk and working on a computer.NCSL provides a unique hybrid remote work policy with the requirement that staff travel on their own fare to the NCSL office once a month for team meetings and professional development. Employees routinely use standard office equipment such as laptops, printers, scanners, copy machines, and smartphones. Occasional travel by airplane, including overnights and weekends, is required. QUALIFICATIONS FOR SUCCESS:
Minimum Qualifications:
- High school diploma (or its equivalent) plusfiveyears of progressively more complex administrative experience.
- Proficiency in computer-based clerical duties, including Microsoft Office and other software programs; ability to learn new procedures and applications.
- Expertise incommunicatingclearly and professionally in writingandorallyand dealingdiscretely with sensitive information.
- Experienceworkingbothindependentlyandcollaborativelyas circumstances dictate.
- Proficiency withsimultaneouslymanagingmultiple tasks and deadlines.
- Competencyworkingunder deadline pressure and adaptingto changes in workloads.
- Superiorcustomer service and organizational skills withstrongattention to detail.

- Ability to travel by air approximately1time per year, generally for 1-3 nights.
