About the opportunity

Do you thrive in high-stakes environments where precision matters, confidentiality is key, and leadership depends on you to keep things running smoothly? SWCA Environmental Consultants is seeking a rock-solid, highly trustworthy Senior Executive Administrator to support our Chief of Staff, Chief Executive Officer (CEO), and Board Chair with executive-level operations and governance support.

This role reports directly to the Chief of Staff and is integral to the rhythm of our most strategic conversations-Board meetings, Senior Leadership Team (SLT) sessions, and high-level executive planning-where capturing the right details and managing the right logistics makes all the difference. These meetings are not just short touchpoints, they can span full days and require sustained minute-taking in real time with a high level of focus and accuracy. You'll be the go-to partner in organizing, streamlining, and elevating the executive experience across the company.

This individual must bring exceptional discretion, professionalism, and emotional intelligence, as they will routinely manage highly sensitive communications and documents involving executive leadership and the Board of Directors. Operating with unwavering confidentiality and integrity is essential to this role, as is the ability to navigate high-trust environments with maturity, poise, and sound judgment.

This is a complex position that goes beyond traditional administrative duties. It requires prior experience in executive operations, governance, or Board support, and the ability to work independently in a fast-paced, high-accountability environment.

This is a full-time, hourly position that is fully distributed (remote) within the U.S. and requires travel 5-7 times per year to support key meetings. These meetings typically last 2-3 days but may occasionally extend up to 5 days.

What you will accomplish

  • Attend Board, SLT, and other executive- and leadership-level meetings. Take accurate, neutral, and confidential minutes, and ensure timely processing of follow-up materials.
  • Format and refine Board agendas, reports, and slide decks to ensure clarity and professionalism.
  • Manage the Board's external site and shared drive, maintain structure, and troubleshoot access and file issues with ease.
  • Coordinate complex travel and logistics for senior leaders and Board members across time zones and calendars.
  • Maintain a secure, well-organized system for meeting records and high-sensitivity documentation.
  • Serve as a trusted liaison for scheduling, logistics, and executive administrative support.
  • Handle highly confidential information with discretion, sound judgment, and integrity.
  • Collaborate closely with the Chief of Staff to support executive operations and strategic priorities.

Experience and qualifications for success

  • Five (5) years of senior-level administrative support experience.
  • Demonstrated experience supporting executive leadership in a high-trust environment.
  • Proven discretion in handling confidential information and sensitive situations.
  • Relationship skills that build trust quickly with senior leaders.
  • Experience drafting and processing executive-level materials and minutes.
  • Proven ability to sustain focus and accuracy during full- or multi-day meetings.
  • Typing speed of 70+ words per minute (WPM) with high accuracy (assessment required).
  • Strong logistics coordination across multiple time zones.
  • Comfortable with ambiguity, shifting priorities, and operating independently without detailed instructions.
  • Proficiency with Microsoft Office (Word, Outlook, PowerPoint) and document collaboration tools.
  • Demonstrated alignment with SWCA's core values and our employee-ownership culture.
  • Valid driver's license and ability to meet driving requirements.

Preferred qualifications:

  • Bachelor's degree (or equivalent experience) in Business Administration, Communications, or a field relevant to SWCA's business highly preferred.
  • Seven (7) years of executive admin experience, ideally in consulting or corporate environments.
  • Direct support experience with CEOs or Boards.
  • Typing speed of 75-90+ WPM with demonstrated accuracy under time constraints.

An employee in this US-based position can expect an hourly salary of $30.76 - $40.17. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
