Job Description Summary

The Executive Assistant provides comprehensive professional administrative support to the Dean of the Law School. Performing under indirect supervision, this position provides primary administrative, logistical, project and executive support to the Dean by managing the Dean's schedule including coordination of meetings and events, travel plans, correspondence, ensures effective and timely communication and preparedness for meetings and events. The Executive Assistant handles complex and confidential matters with professional discretion and independent judgement. The position proactively anticipates needs and opportunities for efficiency, ensures high levels of accuracy, solves problems and contributes to the seamless operations of the Dean of the Law School and its administrative operations.

Job Description

Essential Functions:

  • Provide full range of administrative support in a professional, consistent and timely manner.
  • Effectively manage the calendar and travel plans/logistics of the Dean using strong decision-making and organizational skills to ensure the strategic use of time through effective assessment of importance andtime-sensitivity of meeting requests, and proactive meeting preparation and organization.
  • Document the annual cycle of events, regular meetings, and other scheduling requirements related to the Dean's work to proactively anticipate the needs of the Dean in preparation for upcoming meetings, events, other engagements, and responsibilities, and develop procedures/systems to ensure efficient and administrative support for them on a consistent basis.
  • Serve as the primary administrative contact for the Dean, managing communication/correspondence with internal and external stakeholders, and support issue resolution through research and collaboration with Law School stakeholders.
  • Organize team meetings, retreats, and gatherings, including communicating with participants, preparing agendas and background materials, planning logistics and follow-up tasks, and anticipating and planning for changes.
  • Support the Dean and Law School administration with special projects including providing research and analysis on specific issues, preparing non-routine documents, reports of a sensitive and confidential manner and tracking projects' progression to ensure compliance with established deadlines.
  • Organize both internal and external visits by responding to inquiries, creating visit itineraries, greeting visitors, assisting with event planning and coordination, and providing information or referrals to appropriate individuals.
  • Provide research and analysis on specific issues, prepare non-routine documents and reports of a sensitive and confidential nature.
  • Serves critical role in ensuring adherence to established policies and procedures and compliance with all governing bodies.
  • Consistently monitors business processes seeking opportunities for increased efficiency and operations.

Other Functions:

  • Managing special projects.
  • Assisting with major Law School events such as Graduation Events.
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus at least three to five years of related experience providing executive-level-support or equivalent combination of education and experience.
  • Comprehensive knowledge of office management best practices.
  • Computer software proficiency to include Microsoft Office, Google platforms, and other relevant software in addition to standard office equipment.
  • Well-organized, with a strong attention to details and a focus on keeping tasks moving forward with high accuracy and efficiency.
  • Ability to make administrative and procedural decisions on sensitive, confidential issues.
  • Strong professional communicator in terms of oral, written, non-verbal and interpersonal skills; able to deliver information clearly and concisely, exchange ideas effectively, listen actively, and respond appropriately to a wide range of constituencies.

  • Prior experience in institutions of higher education.

  • Responsible for own work.

Physical Requirements:

Work is mainly sedentary. Daily requirements include use of computer, phone, and physical filing

and/or stocking. Occasionally required to lift and move up to 10 lbs. of weight. Must be able to push

and/or pull a rolling cart with equipment and supplies and may be asked to assist with event set up or

breakdown.

Environmental Conditions:

Work is performed inside an office building during all seasons and in all types of weather. Employees

are expected to use appropriate and acceptable safety measures. Assigned in-office hours will be

dependent upon business needs and according to campus policies.
