This position reports to and takes direction from the Senior Federal Contracts Administration Manager.

Due to certain Federal contracts' requirements, US-born citizenship is mandatory.


In the role of Department Administrator, we'll count on you to:

  • Compile and distribute departmental internal company reporting and certain external Federal reporting requirements
  • Provide administrative support to HDR Government Property Manager
  • Develop, maintain, and keep current all department forms in MS InfoPath, Word, Excel & Acrobat PDF
  • Maintain and update department SharePoint sites
  • Schedule and facilitate all aspects of department training, as directed
  • Maintain electronic files and perform close-outs of federal contracts
  • Extract data from a variety of formats and provide in a usable layout
  • Be able to shift gears quickly, problem solve and prioritize duties as they are assigned with little supervision
  • Work collaboratively with all levels of employees, management, and externally to maximize performance, creativity, problem solving, and results and take the initiative to handle complex office administrative problems
  • Have a strong commitment to customer service and the ability to plan and manage multiple tasks often within highly demanding time frames
  • Ensure timely response to customer and department staff issues and requests to meet deadlines
  • Build strong relationships with department team members and within the supporting departments (Federal Management Team, Accounting and Subcontracting) and regularly communicate status of requirements and deadlines
  • Be professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize, adjust to changes, and handle multiple tasks in a fast-paced environment
  • Possess excellent verbal and written communication skills
  • Perform other duties and special projects as assigned


Preferred Qualifications

  • High School diploma or equivalent
  • A minimum of three (3) years of office administrative experience
  • Due to client contract requirements only candidates with US Citizenship will be considered for this position as permitted pursuant to section 247(a)(2)(C) of the Immigration and Nationality Act.
  • Associate or bachelor's degree in business, engineering or other applicable major; previous experience in lieu of a degree is acceptable
  • Certified Administrative Professional (CAP) certification and Microsoft Office Specialist (MOS) in Excel & Word certification
  • Knowledgeable and proficient in MS Office Suite and various multimedia communication techniques and equipment, including video conferencing and social media channels
  • Experience with Microsoft Power BI, Power Apps, and Power Automate
  • Experience managing SharePoint databases and websites
  • Previous experience in procurement
  • Experience in government contracting, including Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS)
  • Experience working with government furnished property and all aspects of reporting and maintaining data

The expected compensation range for this position depends upon skills, experience, education and geographical location. (Stated benefits are for full-time regular positions.
