Join our renowned UCLA Liver-Small Bowel Transplant Program as an Administrative Supervisor, where you will play a key leadership role in supporting one of the most complex and impactful areas of patient care.

Reporting directly to the Nurse Manager, you will supervise all Administrative Assistants and provide essential analytical and operational support to ensure the efficiency and success of the program. Your responsibilities will include:



  • Leading and coordinating administrative operations for patient evaluations and financial practice management.



  • Initiating and managing projects, designing databases and reports to support clinical, financial, and patient management processes.



  • Monitoring operational performance and identifying areas for improvement.



  • Developing and maintaining utilization management programs by analyzing service usage and trends.



  • Collaborating closely with transplant nurses to facilitate timely communication with patients and families.



  • Overseeing the evaluation process, including obtaining insurance authorizations and coordinating diagnostic communications with referring physicians.



  • Triaging phone calls and ensuring a smooth flow of information across the care team.



  • Supervising career-level Administrative Assistants (AA III) and managing work-study students.

Salary Range: $32.95-$67.53/hourly

Qualifications

Required:

  • Demonstrated interpersonal skills in interacting with persons of various social, cultural, economic, and educational background for the purpose of arranging consultations and hospital admissions.
  • Oral communication skills sufficient to obtain and relate information clearly and concisely
  • Organizational skills in coordinating varied activities within the hospital and community
  • Demonstrated ability to interact in a calm and professional manner with patients and to display patience and diplomacy in dealing with physicians and patients from many diverse backgrounds
  • Problem solving skills sufficient to anticipate potential scheduling problems and ability to devise and suggest alternate approaches to dealing with conflicting demands
  • Ability to handle several different phone calls at once, coordinate changes in appointments and schedules by doctors and patients on very short notice
  • Working knowledge of working with physicians and patients in a large multi-physician group in a front office setting similar to private practice
  • Ability to work in a small area with other individuals and in an atmosphere of frequent interruptions
  • Skills in recognizing an emergency situation and taking appropriate action
  • Working knowledge of the insurance authorization process
  • Working knowledge of standard accounting principles to insure accuracy and integrity of cash collections
  • Working knowledge of IBM -compatible systems, using Windows, or based programs such as Word Perfect, MS Mail, MS Word, and MCCS
  • Knowledge of supervisory principles, including training, evaluating performance and recommending disciplinary action if necessary
Preferred:
  • Knowledge of UCLA policies and procedures regarding cash collections
  • Knowledge of the UCLA Medical Center and various labs
  • Knowledge of Transplant database management, Hospital and Scheduling programs
  • Knowledge of medical terminology, preferably cardiovascular terminology
  • General knowledge of UCLA Work Study hiring guidelines and policies and procedures on timesheet collection and review
