Summary

The Contracts Coordinator provides administrative support for the legal team, as well as provides assistance and support with all aspects of the contracting process.



Responsibilities

  • Coordinate and research the gathering of information from various departments in connection with the preparation of contracts and other legal documents. (phone numbers, personnel to contact, Guidelines/regulations, policies, etc.).
  • Continuous tracking of all contracts, with particular emphasis on expirations and renewals, and keep internal clients and others informed of the contract status and related issues, as appropriate.
  • Maintain both pending and completed contracts in an organized and accessible system.
  • Ensure that all contracts are signed, countersigned and uploaded to the contracts database in a timely manner.
  • Preparation of contract termination documents and follow through with contract closeout and archiving process in software, electronic and physical files.
  • Provide training on the contracts process to internal clients.
  • Contract software data entry.
  • Provide clerical assistance to the legal team, including copying, scanning, filing, data entry, ordering supplies and other clerical tasks as required. Prioritize and manage assignments quickly, accurately and efficiently.
  • Assist in the planning and preparation of meetings, classes and conference calls, to include: sending meeting invitations/correspondence to participants, preparing class materials and ensuring necessary technology is ready.
  • Manage special projects and perform other related duties as assigned.
  • Uphold strict confidentiality at all times regarding all legal department matters, including but not limited to pending and completed negotiations.



Education and Experience

  • Ability to prioritize with multiple competing priorities and tasks required.
  • Capacity to handle documents and various information which are very confidential and sensitive in nature required.
  • Thorough knowledge of correct English usage, grammar, spelling, vocabulary and punctuation required.
  • Ability to compose clear and concise correspondence independently or from oral and/or written instructions required.
  • Understanding of home healthcare and hospital environments and basic healthcare law (HIPAA, Stark Law, etc.) preferred.
  • Organizational and administrative project management experience required.
  • Document management experience preferred.
  • Basic knowledge of medical and legal terminology preferred.
  • Ability to work independently of direct instruction and preform required duties required.
  • Strong attention to detail and a team player required.
  • Excellent computer skills with common office applications (Word, Excel, PowerPoint, and Outlook).
  • Familiarity of the Health System's contract management software required.
