Job Description

Missouri S&T is seeking a detail-oriented and proactive Executive Assistant to join the College of Arts, Sciences, and Education. This pivotal role supports the college's leadership and operations by managing key administrative functions, streamlining processes, and ensuring compliance with university policies. You'll work closely with faculty, staff, and university partners to help the college run smoothly and efficiently.

Key Responsibilities:

  • Executive Support: Manage the Vice Provost/Dean's calendar, travel, and correspondence. Provide scheduling support to Associate Deans and coordinate meetings with college leadership and advisory boards
  • Hiring & HR Coordination: Lead hiring processes for faculty and staff, including job postings, offer approvals, and onboarding. Serve as the Hiring Manager for all full-time faculty positions
  • Stakeholder Collaboration: Act as a liaison between the college and key university offices such as the Provost's Office, Enrollment Management, Human Resources, and others
  • Personnel Administration: Approve electronic personnel action forms (ePAFs) and track faculty hiring commitments and contracts
  • Faculty Affairs: Support faculty processes including sabbatical applications, promotion and tenure, and third-year reviews.Academic Support: Assist with scholarship coordination and external academic program reviews
  • Communications: Manage the college's social media presence to promote engagement and visibility
  • Reporting & Documentation: Prepare reports, proposals, and presentations for college leadership, synthesizing data from multiple sources
Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Strong initiative and ability to work independently
  • Proficiency in Microsoft Office (Outlook, Word, Excell, Powerpoint)
  • Excellent organizational and multitasking skills
  • Strong interpersonal and communication abilities
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $21.41 to $26.74 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
