Property Coordinator

Vaco is partnering with a well-established commercial real estate team to find a skilled and proactive Property Coordinatorto join their growing team on a temporary basis. This is an exciting opportunity to support day-to-day operations of a commercial property, collaborate with key vendors and tenants, and ensure smooth, efficient building management.

Key Responsibilities:

Tenant Relations:

  • Serve as a primary point of contact for tenant needs and inquiries

  • Support positive tenant relationships to promote satisfaction and retention

  • Ensure tenant compliance with building rules and regulations

Financial Administration:

  • Assist with rent collections and track payment delinquencies

  • Process late fees and assist in managing expenses

  • Input and code invoices accurately and promptly

Vendor & Staff Coordination:

  • Assist with oversight of third-party contractors (engineering, security, janitorial)

  • Maintain vendor and tenant files, insurance certificates, and service contracts

  • Coordinate procurement and contract administration

Building Operations:

  • Conduct regular property inspections to maintain optimal performance

  • Coordinate maintenance, alterations, and reconditioning projects

  • Maintain and oversee online work order system and tenant billbacks

  • Support tracking of construction and tenant improvement expenses

Administrative Support:

  • Provide office support: answer phones, handle mail, order supplies

  • Maintain and update building contact lists, materials, and reports

  • Help prepare property budgets and financial documentation

  • Coordinate tenant events, conference room bookings, and other special projects

Qualifications:
  • 2+ years of experience in property management or commercial real estate preferred

  • Strong organizational and communication skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Professional demeanor with a customer-focused approach

  • Proficient with MS Office and property management systems (Yardi or similar a plus)

  • Detail-oriented and resourceful self-starter



Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
