Position Summary
The Administrative Assistant II supports the operations of the maintenance and housekeeping departments by providing high-level administrative and clerical assistance. This role ensures the smooth execution of daily activities, coordinates work orders, maintains records, and facilitates communication between departments to enhance operational efficiency.
Knowledge, Skills, Abilities and/or Competencies

  • Considerable knowledge of office practices, procedures, systems, and equipment.
  • Ability to maintain administrative, fiscal, and academic records, and to prepare reports and answer questions from such records.
  • Ability to establish and maintain effective working relationships with officials, employees, students, and associates, and effectively convey information.
  • Effective knowledge of computer software including Windows, Word, Internet Explorer, Outlook, Excel, Adobe Acrobat, and Adobe Contribute.
  • Prolonged sitting at desk during course of day.

  • Processes payment requests, submits refunds, submits requisitions, cost receipts, and manages a University PCard.
  • Keeps track of invoices and submits payments in a timely manner.

  • Assists with vehicle inventory database and submitting maintenance records in state and federal systems.
  • Keeps track of routine scheduled vehicle maintenance.

  • Prepares correspondence, maintains records and files, prepares reports and other general office duties
  • Assists departmental managers track routine maintenance such as pool permits, grease traps, HVAC filters, Piano tuning, etc.
