SUMMARY
The Operations Specialist is a support position for the Administrative Workflow Processes in our Service Business. The Operations Specialist works closely with Service Sales, DMAC's, Service Coordinators, Accounting and KAM/RSAMs to move the business through our ERP system from Order to Invoice . This position is a remote one and will be supporting both East and Central time zones.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned.)
- Book Service Sales for New and Existing Customers: In ERP - Create Customer, Create Location, Create Equipment, Create and Build Contract, Create Price List, Enter Customer Specific Requirements.
- Maintain Customer, Location, Equipment, Contract, Contact, Customer Specific Requirements and Price List information in ERP.
- Meet targets for Data Accuracy (to be defined)
- Designate Opportunities Won
- Assist in the assembly of Master Schedule
- Book Follow Up Sales: In ERP - Verify All Required Scope of Work, Order Lines & Parts Listed On the Order. Adjust As Needed and/or Work with DMAC & Area/Ops Manager to Clarify Scope of Work. Confirm Quotation, Change to Sales Order, Create FO, Mark as Won.
- Source parts internally or externally
- Complete Order Process in ERP
- Communicate Repair Scheduling need to Service Coordinator or Supervisor
- Respond to, enter, manage and maintain scheduled activities in ERP
- Complete steps for subcontractor invoices for AP
- Verify Information on Subcontractor Report
- Obtain missing information from subcontractor
- Create "Follow-Ups" for failed items on subcontractor reports
- Enter information and documents into Compliance Engine or Equivalent as required
- Enter information and documents into customer portal
- Sales Order Review
- Create Draft Invoices
- Work with Customer and Service Account Team to obtain necessary Tickets, PO's or Authorizations prior to invoice.
- Take Emergency Service Call Requests via Phone, Email, Text, IM or Portal from Customer, 3rd Party, Account Team or Others.
- Create Quote (procedural), Sales Orders, Field Orders
- Communicate Emergency Service needs to Service Coordinator and Account Team
- Assist in dispatch as needed
- Respond to customer inquiries as needed
- Complete or assist in customer specific administrative support
- Support search for and onboarding of new subcontractors as directed
- Participate in internal and Customer meetings as required
- Conform to company quality system
- Provide Accounting and Service Sales Support as needed
MINIMUM EDUCATION AND/OR EXPERIENCE
- HIgh School Diploma or Equivalent
- 2 Years experience in General Business Administration, Accounting, Purchasing
- MS Office environment experience
- Intermediate level user of Excel or equivalent, with solid understanding of spreadsheets and basic filters, formulas and functions
