Assistant Property Manager

Job Summary:
We are seeking an experienced and detail-oriented Assistant Property Manager with a background in commercial property management for our long term client. In this role, you will support the Property Manager in overseeing the daily operations of office, retail, and/or industrial properties. The ideal candidate is highly organized, service-oriented, and comfortable working in a fast-paced, tenant-facing environment.

Key Responsibilities:

  • Assist in managing day-to-day operations of commercial properties, including office buildings, retail centers, and/or industrial sites

  • Serve as a point of contact for tenants regarding maintenance issues, lease questions, and property concerns

  • Coordinate with vendors and contractors for maintenance, repairs, and capital improvement projects

  • Monitor rent collections, track delinquencies, and follow up with tenants on outstanding balances

  • Assist with lease administration, including lease abstracting, renewal tracking, and compliance monitoring

  • Conduct regular property inspections and ensure sites are clean, safe, and well-maintained

  • Support budget preparation, financial reporting, and invoice processing

  • Maintain accurate tenant records and documentation in property management software (e.g., Yardi, MRI, AppFolio)

  • Ensure compliance with lease terms, property policies, and relevant city/state regulations

  • Assist with tenant move-ins/move-outs, certificates of insurance (COIs), and building access systems

Qualifications:

  • 2+ years of experience in commercial property management is required

  • Working knowledge of lease terms, CAM (Common Area Maintenance) reconciliation, and building operations

  • Strong interpersonal and problem-solving skills

  • Proficient in Microsoft Office Suite and property management software (e.g., Yardi, MRI, or similar)

  • Excellent organizational and time management abilities

  • High school diploma or equivalent required; associate or bachelor's degree in Business, Real Estate, or related field preferred

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
