Job Summary

Participating in the support of the processes, tools, and methodologies to drive consistent asset management, as well as governance excellence as part of the IT organization.

Major Tasks, Responsibilities and Key Accountabilities

  • Manage software requests by leveraging current software inventory when feasible. Participate in software procurement when necessary and support secured software distribution. Manage nonstandard requests by assessing and executing the most appropriate solution
  • Participate in managing applications including but not limited to locating additional software entitlements, communicating to end users to validate proper licensing, analyzing software end user license agreements, managing maintenance renewals, running reports in ITAM systems
  • Participate in the maintenance of software compliance across all managed desktop and datacenter software titles including the support of manual workflows to collect software installation and usage data not supported by license management tool in ITAM systems.
  • Support harvesting and recycling efforts including end user communications, working with IT Desktop for software removal and engaging IT Accounts Team
  • Use ITAM systems to report on key metrics to measure activities and accountabilities, as well as continuously seek and provide guidance on process improvements to drive program efficiency and effectiveness
  • Deploy laptops, PCs, and peripherals.
  • Physical capture of IT hardware assets using barcode scanners.
  • Must have an excellent working attitude while interacting with customers and colleagues.
  • Must be able to maintain and organized assets, warrant, maintenance, subscriptions and contracts for assets via ServiceNow.
  • Must be able to physically move lightweight equipment.
  • Requires knowledge of MS Office suite of tools, specifically MS Excel.

Nature and Scope

  • Selects correct processes from clearly prescribed rules, past practices, or instruction. Seeks advice and guidance on non-routine or problem areas from supervisor. Deviations from the norm are cleared by the supervisor.
  • Under close supervision, exercises limited latitude/independent judgment. Work typically involves detailed checks or close review of output by a senior co-worker and/or supervisor.

Asset tracking and lifecycle management skills - Proven ability to manage IT hardware and software assets throughout their entire lifecycle, including procurement, deployment, maintenance, reallocation, and disposal. Responsibilities include:

  • Monitoring hardware refresh cycles and coordinating with stakeholders to ensure timely replacements and proper end-of-life handling
  • Supporting software license reconciliation efforts and responding to internal and external audit requests with accurate and up-to-date data
  • Collaborating with Procurement and IT teams to ensure alignment between asset records and purchasing activity
  • Maintaining detailed inventory records and continuously tracking assets to ensure data accuracy and integrity
  • Utilizing ITSM and asset platforms to generate reports and dashboards that provide visibility to leadership and support data-driven decision-making
  • Contributing to ongoing process improvement initiatives aimed at increasing efficiency, compliance, and lifecycle optimization

Experience with ITAM and CMDB tools

  • Proficient in enterprise asset management platforms such as ServiceNow, Lansweeper, Ivanti, and JAMF, as well as configuration management databases (CMDBs) used to maintain an accurate and up-to-date inventory of IT assets.

Certifications

  • Preferred certifications include IT Asset Management Foundation (ITAMF), Certified Hardware Asset Management Professional (CHAMP), and ITIL Foundation.

Data accuracy and compliance knowledge

  • Strong attention to detail with a demonstrated ability to ensure asset data integrity and compliance with software licensing agreements, internal IT policies, and external audit requirements.

Education

  • Associate's or Bachelor's degree in Information Technology, Business, Supply Chain, or a related field is preferred.

Work Environment

  • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
  • Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.
  • Typically requires overnight travel less than 10% of the time.
