Business Operations Coordinator

Our client is seeking a highly detail-oriented and proactive Business Operations Coordinator to support both international and domestic affiliate operations. In this critical role, you'll manage the full life cycle of sales and return orders, coordinate transactions between client sites and partners, and ensure timely and compliant distribution.


Key Responsibilities


  • Manage international and domestic affiliate orders across manufacturing (OSTA) and sales/distribution sites (OCA).



  • Create, maintain, and execute all order types-sales, returns, credits, debits, and deliveries-throughout the order life cycle.



  • Coordinate inbound and outbound transactions between entities, third-party vendors, and internal stakeholders.



  • Facilitate and track customer master data requests (creations, changes, deactivations) across global systems.



  • Support material pricing and transfer price request processes for affiliate entities.



  • Provide timely communication on order status, backorders, shipment schedules, tracking, and invoicing.



  • Investigate and resolve open orders, errors, and fulfillment delays through data analysis and cross-functional coordination.



  • Perform receiving transactions and reconcile drop ship purchase orders, returns, and virtual RMAs.



  • Collaborate with Market Quality to create internationally compliant orders.



  • Generate proforma invoices for third-party international shipments and ensure import/export compliance.



  • Investigate and manage international shipping incident reports and claims.



  • Uphold internal compliance and JSOX controls; support audits as needed.



  • Contribute to special projects and operational improvements as assigned.




What You Bring


  • Education: Associate's degree in Business or related discipline (required).



  • Experience: Minimum 6 years in Operations, Supply Chain, or Customer Service.



  • Systems: ERP experience required; SAP and Oracle strongly preferred.



  • Tech Skills: Proficiency in Microsoft Office (Excel, Word); strong data entry accuracy and organizational abilities.



  • Industry Knowledge: Basic understanding of supply chain workflows, inventory management, and order life cycles.



  • Soft Skills:




    • Excellent verbal and written communication skills



    • Ability to multitask and prioritize under pressure



    • Problem-solving mindset with strong attention to detail



    • Customer-focused with business acumen and ethical integrity






Additional Information


  • Hybrid Work Model: After training, onsite work is required Tuesdays and Wednesdays; remote work on Mondays, Thursdays, and Fridays.



  • Availability: Extended hours may be required during month-, quarter-, and year-end close periods.
