Supervisor Accounts Payable - Mahwah NJ

Job Summary:

The Accounts Payable Supervisor is the backbone of Mindray's financial operations. This position ensures accurate and timely processing of invoices and payments, maintains strong vendor relationships, and safeguards the company's financial health. This position works in accordance with established systems, policies, and procedures. Serve as a liaison for the timely closure of the Accounts Payable section to facilitate the monthly/quarterly/yearly closure.

Essential Functions:

  • Oversee the end-to-end accounts payable process, ensuring timely and accurate processing of invoices and payments
  • Supervise and mentor the AP team, fostering a collaborative and efficient work environment
  • Maintain accurate financial records and ensure compliance with company policies and financial requirements
  • Develop and implement process improvements to enhance efficiency and accuracy within the AP function
  • Collaborate with cross-functional teams, including procurement and finance, to resolve discrepancies and streamline operations
  • Manage vendor relationships, addressing inquiries, and resolving payment issues promptly
  • Create a month-end AP accrual and journal entry
  • Prepare Balance Sheet reconciliations/account analysis for AP
  • Prepare inventory in the transit journal entry
  • Prepare and analyze accounts payable reports, providing insights to support financial decision-making
  • Assist with month-end and year-end closing activities, including reconciliations and accruals
  • Support internal and external audits by providing necessary documentation and explanations
  • Comply with GAAP, SOX controls and external audit
  • Prepare and report all 1099 vendors for tax filing and other ad hoc reports

Decision-Making Authority:

1. Operational Decision-Making Authority

  • Review and Approval of Transactions
  • Process Oversight: Reform and implement AP processes to improve efficiency and compliance
  • Dispute Resolution: resolve complex billing issues and vendor disputes

2. Compliance and Internal Controls

  • Policy Enforcement: Ensure that payments comply with internal policies and budgetary constraints
  • Segregation of Duties: Maintain internal controls by ensuring that duties like invoice entry, approval, and payment are properly segregated

3. Delegated Authority

  • Within DOA Limits: Delegation of Authority policy, which outlines who can approve what, and up to what amount
  • Escalation Protocols: Decisions beyond the threshold (e.g., large payments or policy exceptions), are escalated to the Controller

Position Specifications:

  1. Knowledge/Educational Requirements
    • Bachelor's degree in accounting, Finance, or a related field preferred but not required
    • Minimum of 5 years of experience in accounts payable, with at least 2 years in a supervisory role

    • Proficiency in accounting software and ERP systems (e.g., SAP)
    • Strong understanding of accounts payable processes and general accounting principles
    • Excellent analytical and problem-solving skills
    • Exceptional attention to detail and organizational abilities
    • Effective communication and interpersonal skills
    • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
    • Experience with implementing internal controls and process improvements
    • Familiarity with relevant taxation regulations and compliance requirements, including 1099 forms
