Job Description Summary

The Program Coordinator for AmeriCorps at Wake Forest University supports all aspects of grant administration and planning logistics. This includes budget management; reporting; compliance; leading the recruitment process for both members and for partner sites; developing outreach materials, conducting interviews, matching members with organizations and managing the on-boarding and exiting processes; supporting members through regular check-in meetings; and supporting evaluation and improvement including data collection and program monitoring.

Job Description

Essential Functions:

Program Management

  • Serves as program manager and point of contact for the Wake Forest University AmeriCorps Program.

  • Collaborates across multiple campus systems-including Human Resources, the Office of Research and Sponsored Programs, Grants Accounting, and other relevant departments-to ensure grants are effectively set up, managed, and closed in alignment with Wake Forest University's internal processes and compliance requirements.

  • Manages grant and program budgets by tracking expenditures, monitoring spending, and ensuring compliance with reporting requirements. Collaborates with Grants Accounting to submit monthly Periodic Expense Reports (PERs) and support financial audits.

  • Develops internal systems to coordinate member files, reporting forms, time sheets, and background check processes.

  • Recruits, selects, and trains participants for AmeriCorps Program.

  • Manages all aspects of onboarding and exiting of AmeriCorps members, both through AmeriCorps and Wake Forest systems.

  • Serves as primary contact for AmeriCorps members, conducting check-in meetings, gauging progress, and supporting members to complete their hours, as needed.

  • Coordinates Request for Proposal (RFP) process to select community host sites for AmeriCorps Program.

  • Develops and manages partnerships for the AmeriCorps program in the areas of public health, food security, education and nutrition in Forsyth County, NC.

Training and Education

  • Designs and facilitates onboarding, orientation, training, and professional development sessions for members.

  • Updates Member Handbook and Partner Site Manual, along with necessary member forms.

  • Develops materials to assist professional development of members, including workshops, resources, and other educational items.

  • Designs and implements program orientation for community host site supervisors.

  • Conducts outreach to community leaders to plan professional development series

Evaluation and Reporting

  • Conducts site visits and program evaluations for AmeriCorps program.

  • Manages member reporting, including submission of time sheets, quarterly and annual reports, and service highlights.

  • Develops tools to track and measure performance indicators and outcomes for the AmeriCorps program.

  • Writes articles, briefs, annual reports, etc. to share the impact of community engagement programs.

Required Education, Knowledge, Skills, Abilities:

  • High School Diploma or GED

  • Work experience preferably with AmeriCorps, Public Administration, Social Work, Nonprofit Management, Higher Education, or related field,

  • Outstanding administrative skills, including organizational planning and development.

  • Knowledge of national service programs.

  • Ability to independently plan, manage and meet competing deadlines for multiple projects with minimal supervision.

  • Ability to work well with multiple constituencies including AmeriCorps members and community partners.

  • Flexible, adaptable and skilled at balancing multiple tasks and works well under pressure.

Preferred Education, Knowledge, Skills, Abilities:

  • Direct experience with AmeriCorps or similar federal grant program.

  • Experience in developing community-university partnerships.
