The Project Team Leader is responsible for leading all on-site clean supply room improvement projects across multiple hospitals. Reporting to the Executive Director of Materials Management, this individual will ensure supply rooms in inpatient and perioperative areas are Joint Commission compliant, efficiently organized, and accurately integrated with Workday and Epic systems where applicable. The Project Team Leader oversees one direct report and leads larger cross-functional teams as needed to successfully deliver high-impact projects that enhance operational readiness and clinical support.

Project Leadership & Execution

  • Serve as the on-site lead for all clean supply room projects across inpatient and OR areas.
  • Oversee physical setup and optimization of supply rooms, including layout design, cart and bin selection, product rotation systems, and labeling standards.
  • Ensure Workday item locations and Epic supply par locations are correctly configured and updated.
  • Maintain project plans, timelines, and deliverables with accountability for execution and compliance.

Team Oversight

  • Supervise one direct employee and provide clear direction, performance feedback, and development opportunities.
  • Assemble and lead additional project teams-including local Materials Management staff and temporary resources-as needed based on project scale and complexity.

Assessment & Prioritization

  • Conduct site assessments to identify and document compliance gaps, inefficiencies, or layout issues.
  • Prioritize projects across the health system based on risk, operational impact, and readiness for implementation.
  • Maintain a dynamic system-wide project pipeline.

Sustainability & Training

  • Partner with site-based Materials Management staff to train them on new standards and workflows.
  • Ensure completed projects are sustainable by embedding ownership and accountability within local teams.
  • Develop tools, templates, and documentation to support consistent execution.

Collaboration & Communication

  • Engage stakeholders across Supply Chain, Nursing, Infection Prevention, Facilities, and IT to ensure alignment and buy-in.
  • Serve as a key liaison between central leadership and local operations on all clean supply room initiatives.
  • Communicate progress, barriers, and results to senior leadership in a timely and structured manner.

Data, Metrics & Compliance

  • Track and report on compliance, productivity, and sustainability metrics for each project.
  • Monitor trends, conduct root cause analysis for recurring issues, and adjust approaches as needed.
  • Implement new tools, strategies, and technology as needed
  • Ensure all work aligns with Joint Commission, hospital policy, and operational best practices.

Qualifications:

Education

  • High school diploma required, Bachelor's degree preferred or demonstrate equivalent work experience.

Experience

  • Operating room environment experience preferred.
  • Preferred experience using computerized purchasing systems
  • Preferred experience with EPIC

Knowledge and Skills

  • Demonstrated leadership and effective team management skills.
  • Strong project management, organizational, and leadership skills.
  • Ability to travel to multiple hospital sites regularly.
  • Knowledge of Joint Commission standards and clean supply room compliance requirements.
  • Strong analytical and problem-solving capabilities.
  • Excellent communication and interpersonal skills.
  • Ability to engage with various stakeholders, including clinical service providers, leaders, and surgical offices.
  • Familiarity with vendor management and compliance.
  • Knowledgeable about hospital and departmental guidelines.
  • Experience with invoice tracking and approval processes.
  • Familiarity with Epic Integration is considered advantageous.
  • Ability to tolerate a busy environment and manage many simultaneous interpersonal stimuli.
  • Knowledge of purchasing principles/practices, e.g. disclosure of proprietary information, conflict of interest, principles of inventory control, distribution and general accounting to assist vendors in resolving billing issues.
  • Familiarity with medical/surgical supplies and equipment is preferred.
