Position Summary

UNM's Office of the Chief Information Officer (CIO) is seeking a self-motivated, customer-oriented, and diplomatic professional who is committed to continuous improvement. We are hiring an experienced Executive Assistant to oversee administrative operations and support strategic initiatives within a dynamic and fast-paced environment.
This pivotal role serves as the primary point of contact for operational and administrative matters, engaging internal and external stakeholders on complex and often highly sensitive issues. You will manage office functions, coordinate special projects and events, prepare communications and presentations, and ensure the smooth operation of executive-level support services. Regular interaction with Executive Vice Presidents, Deans, Vice Presidents, Directors, and/or their administrative support teams are an important part of this position.
Working closely with the CIO and as part of the CIO's Leadership Team, the ideal candidate will be a proactive problem solver who thrives in both independent and collaborative work environments. Strong communication, project management, organizational, and customer service skills are essential for success in this role.

Key Responsibilities:

  • Manage the CIO's calendar, as well as those of senior leadership team members, coordinate meetings, SharePoint content, travel arrangements, expense reporting, and conference logistics.
  • Serve as the CIO's administrative liaison to the IT Governance Council, UNM IT Advisory Boards, and other executive meetings-including scheduling, agenda development, minute-taking, and action item follow-up.
  • Actively participate in CIO Leadership Team meetings, providing administrative support and contributing to strategic discussions.
  • Assist in drafting written communications for events and initiatives sponsored by the Office of the CIO and Information Technologies.
  • Coordinate monthly CIO staff meetings, facilitating content preparation and overseeing logistics for in-person, remote, and hybrid meetings.
  • Support outreach efforts and special projects in collaboration with the Community Programs and Strategic Initiatives team.
  • Coordinate facilities and space planning needs in partnership with the IT Building Manager and IT Space Committee.
  • Support the development and publication of UNM IT's Annual Report and other periodic reporting deliverables.
  • Track and manage attendance and leave records for the Office of the CIO.
  • Supervise and mentor student employees supporting the Office of the CIO.

Conditions of Employment

Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Bachelor's
    degree.
  • 5-7
    years of experience providing senior or executive-level administrative
    support.
  • Experience
    in a higher education or university setting.
  • Exceptional
    interpersonal and communication skills, with the ability to interact
    effectively with senior leadership, faculty, staff, and external
    stakeholders.
  • Proficiency
    in Microsoft Outlook, Teams, OneDrive, and SharePoint, and managing
    distribution lists.
  • Advanced
    skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Visio.
