This position is responsible for assisting with the implementation and promotion of employee commute programs, including parking, shuttles, rideshare, carpool, bike, and walk options. The Commute Program & Customer Experience Coordinator will also support transportation demand management (TDM) initiatives by coordinating commute-related events, engaging with vendors, and helping manage programs like vanpool. This hybrid role blends employee-facing customer service with behind-the-scenes logistical and administrative support to enhance the overall employee commute experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Customer Experience (CX) Support

  • Provide timely and friendly customer service to client employees seeking information about commute options.
  • Coordinates distribution of transportation passes, Carpool Permits, Bus schedules, and other commute materials.
  • Utilizes a ticket management system to document and track customer support requests, ensure inquiries and issues are handled in a professional and timely manner.
  • Create and maintain program documentation including policy documents, email templates, logs, and service records
  • Coordinate with on-site facilitators and internal stakeholders to deliver the high standards of the employee commute experience
  • Track program KPIs and projects using various tools such as SmartSheet and Excel; provide reports on commuter behavior and program performance using data collected by the digital platform.
  • Leads and supports in-person and virtual events-including presentations, tabling, and showcases-to promote commute programs, engage with employees, and provide benefit education in partnership with on-site teams.

TDM Program Assistance

  • Track and report participation, usage trends, and performance indicators related to assigned TDM program areas.
  • Provide logistical and administrative support for commute-related events:
  • Schedule vendors and submit required documentation for facility access requests.
  • Coordinate with internal stakeholders on event timing, setup, and promotion.
  • Track event metrics and gather employee feedback post-event.
  • Assist in managing vanpool operations:
  • Support the onboarding and coordination of new vanpools.
  • Communicate with drivers, vendors, and the TDM manager to ensure alignment.
  • Maintain internal documentation and process guides for CX team use.
  • Support TDM manager in administering and promoting annual employee commute surveys required for compliance with local, county, and state ordinances.
  • May perform other duties as assigned or requested by management

QUALIFICATIONS

EDUCATION and EXPERIENCE

HS Diploma or GED and 1 - 3 years of customer service experience required, transportation experience or knowledge of transit systems a plus.

Demonstrates excellence in written and verbal communication across multiple channels (email, phone, in-person, virtual)

Delivers engaging presentations to both small and large audiences in-person and virtually

Builds effective relationships with stakeholders at all levels

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations.

Ability to solve problems in standard situations.

Requires basic analytical skills.

OTHER SKILLS and/or ABILITIES

Basic skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.

Comfortable meeting and engaging with people while hosting on-site events.

Ability to present information in an interesting format that engages the audience.

Ability to read and interpret road maps. May need to use GPS or other directional device. Ability to work hand-held mobile technologies and applications.

Ability to work flexible work schedules based on business need.

May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly.

Strong problem-solving skills. Highly adaptable and flexible.

OTHER SKILLS and/or ABILITIES

Manages multiple priorities effectively, balancing urgent requests with ongoing projects

Works both independently and collaboratively, supporting team members as needed
