Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks qualified applicants for the position of Special Projects Coordinator to the Dean and VP of the Klipsch Educators College. The Special Project Coordinator will promote our Catholic Franciscan mission and identity by providing direct support to the Dean of the Klipsch Educators College and the leadership team, and schedule for the COO/Chancellor.

Essential Duties and Responsibilities:



  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan Intellectual traditions in courses, programs, and services.
  • Support the Dean and the leadership team of the Educators College in securing financial resources for Marian University, recruiting students for the program through letter writing, phone calls, and other methods, scheduling and coordinating recruitment visits with prospective students in collaboration with the Admissions Office, and assisting in meeting students' needs.
  • Coordinate special projects with REID schools.
  • Collect course syllabi.
  • Maintain a database of adjunct faculty, prepare contracts, obtain signatures, and upload completed contracts to the HR Payroll portal.
  • Coordinate signing days for new and aspiring teachers, as well as other special events.
  • Schedule and coordinate internal meetings for the Dean and leadership team members.
  • Provide general administrative support for the Dean and senior leadership team members, including, but not limited to, project support, scheduling meetings and arranging hospitality, and general clerical duties, including preparing MOUs, new hire processing, payment requisitions, travel, photocopying, transcribing, filing, mailings, etc.
  • Prepare various forms of correspondence (congratulatory letters, letters of recommendation, nominations for awards, etc.) for the Dean and senior leadership team members and manage the correspondence process.
  • Assist with preparation for Board of Visitors meetings and internal department meetings, including but not limited to the preparation of materials (such as agenda, minutes, and project summaries), securing space and arranging for hospitality, IT, etc., and taking notes or minutes.
  • Assist with social media to promote Klipsch and the various programs.
  • Schedule meetings for the Chief Operating Officer and Chancellor.
  • Other duties as assigned.


Required Qualifications:



  • Knowledge of and commitment to the mission of Marian University
  • Bachelor's degree and three to five years' experience supporting an executive(s) preferred
  • Exceptional writing skills in a variety of formats and superior typing and proofreading ability
  • Demonstrated proficiency in Microsoft Office products
  • Excellent research and information gathering skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently with minimal guidance and direction
  • Able to maintain strict confidentiality
  • Ability to provide exceptional customer service.
