Job Overview:

The Operations Specialist, reporting to the Practice Manager of the Radiology Service Line, is an integral role designed for supporting and facilitating operations and staffing for our Radiology Departments supporting Cooperman Barnabas Medical Center CBMC. Under the direction of the Practice Manager, the position supports the Chairman of Radiology with the daily staffing assignments and management of the daily schedule. The Operations Specialist will maintain, and if necessary create, efficient systems to handle routine duties, in addition to assisting with new provider onboarding, payroll and billing and charge capture functions.

Qualifications:

Required:

  • Bachelor s Degree is preferred
  • Minimum two years experience working in a hospital radiology department, or freestanding imaging center
  • Radiology experience preferred

Essential Functions:

  • Scheduling and Onboarding
  • Works with the radiology staff and residents to collect and input monthly schedule information into online scheduling system
  • Demonstrates knowledge of radiology providers subspecialties and preferred practice locations CMBC vs, ACC
  • Ensure timely start date of new providers, working with HR, site credentialing and payor credentialing
  • Facilitate Provider enrollment in insurance/ payors/ medical staff office credentialing by working with Practice Supervisor, Radiology Service Line, to obtain necessary documentation
  • Develop and maintain an open line of communication with administrators and staff through staff meetings or written memorandums
  • Review daily unread studies report and work with Chairman of Radiology to ensure all patient exams are read in a timely manner
  • Coordinate internal audit visits, data collection and reporting per company policy
  • Work in conjunction with Radiology Practice Manager, to ensure any addenda needed in order to correctly code radiology procedures are completed in a manner consistent with timely filing
  • Work with PACS administrator to ensure all exams which are ended in Epic have associated images and reports in PACS, that all reports in PACS can be found in Epic, and all orders with exams ended in Epic without images in PACS are canceled in Epic
  • Maintain deficiency logs and communicate with the individual radiologist to coordinate corrections
  • Obtain daily schedules/patient registration and exam logs to reconcile medical records
  • Review management reporting data to ensure radiologists are performing as expected and identify ways to improve efficiency
  • Identify processes/improvements communicating with VP and Practice Manager, Radiology Service Line
  • Track and evaluate on a regular basis scheduling, staff competencies and training
  • Ensure quality measures are implemented and ongoing, track deficiencies
  • Responsible for IT tickets, CAM requests and ad hoc projects as determined by the Practice Manager
  • Daily Schedule Management
  • In conjunction with the Chairman of Radiology and Medical Director, Radiology Service Line, ensures adequate coverage for all locations
  • Participates in radiology morning huddle and preemptive schedule review
  • Acts as the liaison between the Radiology Service Line and all clinical service locations
  • Serves as the first point of contact for departments when a change to the regular staffing plan is needed
  • Coordinates with radiologists and departments when radiology needs change, This excludes any urgent/emergent needs
  • Distributes daily assignments to respective departments
  • Documentation and Data Management
  • Establishes and communicates operational guidelines for radiology services to appropriate departments
  • Works with respective hospital staff for data pertaining to schedule planning, administration and efficiency such as planned vs actual case times and turnover times
