The Opportunity with McKinstry

We are adding a Business Operations Coordinator to our growing Enterprise Client Strategy to provide excellent administrative support. You will be an essential member of a warm and welcoming team, making everything run like clockwork. Additional responsibilities include:

Key Responsibilities:

Support Business Operations Manager, Ent BDD and AMs to plan, organize, and execute various projects and ECS initiatives

  • Coordinate and communicate with internal or external stakeholders, such as staff, clients, vendors, or partners, to ensure smooth and efficient delivery of the projects or events.
  • Monitor and track the progress, performance, and outcomes of the projects or events, and report any issues, risks, or changes to the management or relevant parties.
  • Prepare and maintain the documentation, records, and reports of the projects or events, such as SOPs, planning documents, meeting minutes, One Notes, etc
  • Perform other administrative or clerical duties as assigned by the management or supervisor.

General ECS

  • Champion Enterprise Client Strategy processes and procedures to enhance business productivity throughout McKinstry.
  • Evangelize SharePoint and help establish and maintain consistency with SharePoint use, including auditing and updating documents and sites as required.
  • Maintain accurate records for expense reconciliation for ECS Directors.
  • Monitor the ECS mailbox for calendar invites and declines, advancing as needed to Account Management Biz Ops or Biz Ops Manager. Actively monitor calendar for conflicts and low attendance/rescheduling.
  • Support the Business Operations Manager & Team in the design and implementation of automation tools that enable the team to scale effectively, maintain high integrity of crucial infrastructure data, and empower quick decision making through data analysis.
  • Serve as back-up to other Business Operations teammates as needed.

Enterprise Led Account Management

  • Scheduling, including insuring recording, minutes and copilot are processed for Enterprise account management meetings. Distributing prep notes, taking notes during meetings, managing OneNote and issuing follow up action items.
  • Assist in preparing data, metrics, and collateral for enterprise account management meetings.

What You Need to Succeed at McKinstry

  • Strong attention to detail, time management, and follow through.
  • Demonstrated proficiency with Microsoft Office and associated power platforms; MS Teams (advanced), MS Excel (advanced), Power Automate (proficient).
  • Is experienced with Salesforce
  • Is passionate about helping others
  • Enjoys meeting and interacting with many people
  • Can manage multiple projects and deadlines concurrently

The pay range for this position is $23.00-$33.00 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This is a non-exempt role and will be paid hourly. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. Base pay information is based on market location.
