The Business Technology Team The Business Technology (BT) team at Okta is the internal IT organization responsible for the technology infrastructure, applications, and services that empower Okta employees globally. We partner across the business to deliver solutions that drive productivity, collaboration, and innovation. Effective financial management and operational discipline are critical to our success in enabling Okta's rapid growth and ensuring we operate efficiently. The Associate Manager, AV Operations & Events Opportunity Reporting to the Manager, Global AV Engineering & Support, this role will manage the global AV Operations team, overseeing day-to-day Audiovisual and Workplace Technologies operations, daily and marquee events. This role will also lead the technical and logistical direction of event productions. What you'll be doing
- Experience interfacing and driving collaborations with conference & hotel venues, production houses, labor unions, etc.
- Provide consultation services for in-house and external-facing event productions.
- Provide technical and logistical oversight of changes to any AV hardware or software systems that are in or planned for production use
- Design and conduct training for any process changes or new implementations
- Benchmark against industry trends and determine technology strategy
- Requires strong written and verbal communication skills and demonstrates the ability to articulate complex technical aspects to non-technical audiences
- Manage a globally distributed team of employees, contractors, and vendor partners, providing effective leadership and coaching to enhance their technical and soft skills
- Project lead on the creation of an Executive Global AV program dashboard showcasing program utilization, ROI, SLAs, spending, support trends for forecasting, headcount planning, team skills development, and design updates
- Develop event project plan to establish protocols, facilitate project and team processes, develop SOWs, coordinate RFP's, and oversee selection process
- Provided operational and technical oversight of the global events team, which includes standardization of processes, equipment maintenance, AV system innovations, and workplace technology management
- Develop and manage a global events metrics dashboard with detailed daily, weekly, and monthly events, showcased room utilization, virtual platform/technology utilization, and overall support to business units
- Partner with the business to evaluate common workflows and determine any changes or enhancements required to hardware or software systems
- Domestic and International travel is required
- Lead, train, and support team members and colleagues
- Experienced in supporting corporate C-level Executives and white glove events.
Management of AV Operations & Workplace Technologies
- Employs strategic thinking to set clear, measurable goals for your team. You analyze performance data to identify trends and areas for enhancement. You implement iterative improvements based on team feedback and performance metrics, fostering a results-oriented mindset. Your ability to balance immediate needs with longer-term objectives enhances team productivity and impact.
- Coordinate and manage daily in-person, virtual, and hybrid meetings & events hosted from the San Francisco and Global offices' event spaces
- Manage the global AV Operations team to provide oversight, improve operational processes/ procedures, and provide mentorship.
Support remote/ virtual events as needed. - Provide general AV & Workplace Technologies systems & services support
- Identify, track, and resolve problems of Workplace Technologies and AV systems
- Resolve technical system problems and drive escalations to completion or resolution as needed.
- Ability to lead efforts to identify and document Root Cause Analysis (RCA)
- Provide end-user support, training, and documentation
- Develop AV production solutions or processes to address complex problems and support event initiatives
- Exercises judgment in selecting methods, techniques, and evaluation criteria for delivering results
- Works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors, including inter-organizational impact
- Interact with senior internal and external personnel on event production matters, standards, and related projects.
- Fundamental understanding of Security, UC, and event services best practices, e.g., Service Accounts, G-Drive, Zoom, Etc.
- Provide immediate or "emergency" in-person problem resolution when necessary and as needed.
- Maintain and provide timely reporting per Okta's requirements
- Track and document daily to quarterly activities per Okta's requirements
- Manage tickets in ServiceNow and Jira
What you'll bring to the role
- Experience managing Audiovisual, Unified Collaboration engineering, or operations teams globally
- Bachelor's Degree preferred in CS, NW, Audiovisual, Project Management related degree or equivalent, 4 - 6+ years of relevant experience
- AV Production and Large Scale Event support experience
- Demonstrates the ability to work well under pressure and in complex environments
- Advanced knowledge of AV systems, Workplace Technologies operations, and maintenance procedures
- Advanced understanding of on-premise systems, SaaS solutions, and troubleshooting procedures,
- Familiarity with Ross Ultrix (Video Switcher), QSC, Dante, Crestron, Shure, Audio Boards, and AV over IP
- UC Platforms and AV Systems integration
- Understanding of corporate network architecture, management, and networking technologies (WiFi, DNS, QoS, VLANs, etc.)
- Ability to train support teams on AV best practices to ensure consistent support practices.
- Exercises independent judgment and decisions 100% of the time in matters related to core competencies
And extra credit if you have experience in any of the following!
- Fundamental understanding of Dante (Audinate) Certifications Proficient
- A strong understanding of audio and Video signal flow, along with IT Networking principles, is a plus.
- Demonstrate the ability to establish alignment with key decision-makers
- Collaborative thought leader with the ability to take a proactive approach to the dynamic technical aspects of the role
- Cross-functional Collaboration with different teams, organizations, and leaders
- CTS Training/ Certification preferred or relevant experience
- Jamf Associate Certification or equivalent experience
- Ability to program and templatize/standardize/program video switchers (such as Ross Ultrix, Barco, etc) and Yamaha audio boards for different event types (e.g, Town Halls, All Hands, Fireside Chats, etc.)
- Experience with writing technical documentation to standardize event systems for various event types.
- Backend UC Platform experience with primarily Zoom, Teams, and WebEx
- Responsible for developing solutions to problems of unusual complexity, which require a high degree of ingenuity, creativity, and innovativeness
- Strong ability to build, execute, and complete initiatives with minimal oversight
- Experience serving as primary consultant to top executives across functions/ company

Below is the annual base salary range for candidates located in California. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies.
