Job Description:

Position Salary Range:

Under general supervision of the Executive Director of HR and Operations within the Thunderbird School of Global Management, this role manages human resource functions for a complex department that includes both academic and administrative areas. These functions include but are not limited to maintenance and retention of unit personnel files; payroll management; academic and non-academic staffing coordination; human resource compliance; internal controls; and other functions designated by the Executive Director.

The salary range for this position is $65,000 - $80,000 per year; DOE.

Essential Duties:

  • Works closely with Thunderbird’s Executive Director of HR, Executive Director of Finance, the Business Center and OHR to coordinate all departmental human resources activities to ensure adherence with Thunderbird and university policies, practices and regulations.
  • Works closely and in conjunction with the Office of Human Resources, advises, interprets and provides direction to management and staff on university rules and procedures, Federal, State and local laws/regulations involving human resources, payroll and related benefit concerns.
  • Assesses Thunderbird’s HR operation functions and develops and implements procedures and objectives specific to improving operational effectiveness and efficiency within established policies.
  • Provides superior customer service to all faculty, staff, students and guests of the Thunderbird School.
  • Supervises and coordinates daily work submissions to the Business Center; monitors status of work in progress and reviews completed work for adherence to the established standards.
  • Oversees leave of absences and ADA accommodation requests; provides guidance to employees, works closely with the OHR leaves and ADA representatives in coordinating required documentation. Works collaboratively with Thunderbird’s Operational Timekeeper with reporting and tracking of approved leave of absences and accommodations.
  • Oversees staff performance evaluations, Workday check-ins; prepares and manages internal communications, develop and provide training to supervisors and staff and ensure compliance in accordance with ASU timelines.
  • In collaboration with the Executive Director of HR and Operations, plans and coordinates HR, professional development and safety related trainings or workshops for staff and faculty.
  • Oversees and manages visa sponsorships (H1Bs, Permanent Residency, TN Visas etc.) for academic and administrative personnel. Works closely with the International Scholars Office, (ISSC) and outside counsel on visa sponsorship cases.
  • Composes academic personnel offer letters, notices of appointments/ renewals, and other academic personnel correspondence for the review of the Executive Director, prior to distribution; will consult with provost office personnel to ensure compliance and best practices.
  • Works closely with the Academic Personnel Specialist with Interfolio academic personnel searches, processing and tracking faculty retirements, resignations, and emeritus status requests.
  • Cross trains and will serve as back-up for other academic personnel processes including promotion and tenure, applicant list approvals, probationary and multi-year reviews and other processes affecting academic personnel.
  • Resolves payroll discrepancies and works as a liaison between the unit and OHR to reach a solution.
  • Ensures maintenance of appropriate personnel records based on OHR, state and federal guidelines.
  • Will work collaboratively with the Business Center personnel in response to internal and external audit requests and prepares audit documents for payroll reconciliation.
  • Creates process guides, checklists, Power Points etc. as needed in support of HR Operations.
  • Works closely with the unit financial administrator or financial specialist to review account expenditure requests and obtain expenditure approvals in accordance with established financial guidelines and policies.
  • In absence of the Dept. HR Specialist, will serve as back-up Operational Timekeeper to ensure accurate and timely recording of exceptions and positive time reporting for Thunderbird staff and student workers.
  • May assist in processing personnel changes related to hiring and position updates such as GSA/student worker hires, promotions, salary increases, FTE changes, terminations, pay-period activity pay and other transactions.
  • Assist hiring managers with the coordination and processing personnel and student recruitment searches.  
  • Management of E-verifications(I-9s) and onboarding of new hires, students and staff.
  • Creates and regularly maintains organizational charts for Thunderbird’s units.
  • May need to advise and assist the Executive Director in the handling of employee relations issues, complaints and/or grievances and determination of appropriate actions.
  • Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent Thunderbird’s interests in the area of human resources and to ensure an integrative/collaborative support of college and university interests.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Initiates and prepares administrative reports and documents.
  • Performs other duties as assigned to ensure the continuity of Thunderbird HR operations and to meet customer service needs.

 

Desired Qualifications:

  • Demonstrated knowledge of all applicable federal, state and regulatory requirements, laws and standards.
  • Demonstrated knowledge of quality customer service standards, methods and practices.
  • Demonstrated knowledge of basic human resource practices, regulations and standards.
  • Experience in planning, analyzing and establishing priorities.
  • Experience in establishing and maintaining effective working relationships.
  • Evidence of effective communication skills.
  • Experience in working effectively in an environment subject to quickly changing priorities, sensitive/confidential information and short deadlines.
  • Experience in developing and maintaining cooperative working relationships both within and across organizational areas.
  • Experience working with diverse populations.
  • Experience working in higher education.
  • Experience in Workday HR Software (Workday), Interfolio, Monday.com and Microsoft Office applications, Slack, Peoplesoft)
  • Secondary or multi language is preferred.
  • Experience with international hiring and contracting experience preferred.

 

Working Environment:

  • This is a full-time, Monday-Friday, 8am-5pm position. This is NOT a fully remote position, however, Thunderbird at ASU does support a hybrid (60/40%) flexible work schedule, subject to approvals per ASU policy. Hybrid schedule will be permitted at the discretion of the Executive Director of HR and upon completion of initial training period.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Evidence of effective communication skills.
  • Regular use of standard office equipment including but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
