Job Summary

We have an exciting opportunity for a Property Management Administrator in our New Jersey office. This individual will provide high-level administrative and operational support to the Property Management team while delivering exceptional customer service to tenants and vendors. Responsibilities include supporting day-to-day property operations, assisting with budgeting and capital expenditures, coordinating tenant communications, and managing key administrative processes. The role requires strong organizational, communication, and problem-solving skills, as well as the ability to balance multiple priorities in a fast-paced environment.

Key Responsibilities

Tenant & Vendor Relations



  • Serve as a primary point of contact for tenants, ensuring requests are handled promptly and with a high level of service.
  • Coordinate utility transfers, new account setup, and issue resolution for assigned properties.
  • Manage tenant and vendor Certificates of Insurance (COIs) in compliance with company standards.
  • Draft and distribute tenant notices as needed and support collections of accounts receivable.


Property Operations & Administration



  • Review and process invoices, input appropriate coding, and route for Property Manager approval.
  • Maintain and monitor the work order system to ensure timely resolution and customer satisfaction.
  • Assist in preparing bid summaries, drafting service agreements and uploading completed documents, as required.
  • Track insurance and vendor compliance in line with company requirements.


Financial & Transaction Support



  • Support property operating budgets and capital expenditure tracking.
  • Assist with due diligence requirements related to property acquisitions and dispositions.


Team Collaboration



  • Provide administrative and organizational support to the Property Management team.
  • Maintain accurate files, records, and reports to ensure compliance and operational efficiency.


Qualifications & Experience



  • Prior experience in property or building management, including customer service and administrative responsibilities, preferred.
  • Proficiency in Microsoft Office Suite; MRI experience strongly preferred.
  • Excellent verbal and written communication skills.
  • Ability to engage professionally with tenants, vendors, and internal stakeholders.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Self-motivated team player with initiative and problem-solving ability.
  • Bachelor's degree in Finance, Real Estate, Business Management, or related field preferred.


Work Environment & Travel



  • Hybrid work model based primarily in a professional office environment.
  • Ability to remain in a stationary position (e.g., seated at a desk) for extended periods.
  • Approximately 90% of duties require computer use.
  • Must be able to exert up to 20 lbs. of force occasionally for filing or office tasks.
  • Limited travel may be required.
