We are seeking a highly skilled and proactive Administrative Specialist II to provide advanced administrative support to senior leaders. This role requires exceptional organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced environment. The successful candidate will be a trusted partner in managing executive-level priorities, meetings, projects, and communications.

Key Responsibilities

Leader Support & Meetings



  • Manage leader meetings, including scheduling, agenda development, attendance tracking, and action item follow-up using tools such as OneNote and Planner.


  • Provide proactive calendar management, ensuring conflicts are resolved and leaders are well-prepared.


  • Coordinate travel arrangements, including booking hotels, flights, and rental cars, and adding details to leader calendars.


  • Assist with monthly expense reporting and approvals.


Workshops, Strategy & Projects



  • Coordinate leader workshops, including agenda creation, prep materials, and communications.


  • Provide support for strategy initiatives and projects in partnership with senior leaders.


  • Assist with vision-setting projects


Training, Communication & Event Support



  • Prepare professional presentations and other training materials for internal and external audiences.


  • Provide support for leadership education programs


Other Administrative Support



  • Conduct research and prepare summary materials for executive review.


  • Download and share relevant articles, ensuring key insights are communicated internally and externally.


  • Support information sharing across leadership teams and stakeholders.


  • Manage additional projects and miscellaneous administrative tasks as assigned.


Qualifications



  • 3-5 years of administrative experience supporting senior leaders or executives.


  • Strong proficiency in Microsoft Office Suite (Outlook, OneNote, PowerPoint, Excel, Teams).


  • Proven ability to manage multiple priorities with accuracy and attention to detail.


  • Excellent communication skills-both written and verbal.


  • Ability to work independently, anticipate needs, and maintain confidentiality.


  • Strong problem-solving skills and resourcefulness in a fast-paced environment.
