POSITION The Head of Intermediary Services is responsible for leading the strategy, development, and execution of intermediary relationship management with financial intermediaries including broker-dealers, RIAs, banks, and other financial institutions. This role ensures the delivery of exceptional service and aligns operational execution with regulatory and commercial objectives. We currently operate in a hybrid working model, whereby you will be required to work in-office 3 days a week. Location(s): Boston, MA RESPONSIBILITIES
- Strategic Leadership
- Define and implement the intermediary servicing strategy that aligns with the firm's distribution and growth goals.
- Align service models with the policies and regulations governing funds.
- Lead initiatives to improve the intermediary experience and achieve operational efficiency.
- Demonstrate confident communication skills and ability to influence stakeholders at all levels.
- Relationship Management
- Serve as the senior point of contact for key intermediary relationships.
- Manage onboarding, servicing, and retention of intermediary partners with transfer agent operations and intermediary services experience.
- Ensure consistent communication and engagement with internal distribution partners.
- Ensure timely and accurate communication of fund updates, operational changes, regulatory disclosures, and completion of operational questionnaires and fact sheets.
- Provide after-hours support to intermediaries in response to project driven or business continuity events.
- Operational Oversight
- Manage a team tasked with oversight of transfer agent intermediary operations, including account establishment, trade execution, and problem resolution.
- Partner with transfer agent, fund administration, legal, compliance, and risk teams to guarantee compliance with regulatory standards.
- Monitor benchmarks and SLAs to drive continuous improvement.
- Supervise the monitoring of daily reports to guarantee compliance with fund policies and compile monthly metrics for reporting to management and the fund board.
- Work closely alongside the Head of Transfer Agent Services to manage transfer agent functions (e.g., NSCC processing, intermediary events) and roll out product and service plans.
- Sales & Distribution Support
- Collaborate with sales leaders to increase revenue growth through intermediaries.
- Provide insights and feedback from intermediaries to assist in product development and service improvements.
- Represent the firm at industry events and intermediary forums.
- Team Leadership
- Manage, mentor, and develop a high-performing team.
- Set performance goals, conduct reviews, and support professional development.
- Foster a culture of accountability, collaboration, and client-centricity.
- Intermediary Oversight
- Manage the Intermediary Oversight Program, including SEC Rule 22c-2 monitoring, third-party audit assessments (SOC 1/FICCA), and fund board reporting.
- Coordinate intermediary large trade notifications, settlement-day cash flow reporting, resolution of unexpected cash flow inquiries, and oversight of manual cash flow entries.
- Manage put queue adherence and omnibus-to-plan reconciliations.
- Review intermediary contracts ensuring adherence to service models, fund policies, and regulatory requirements.
- Manage timely system updates to support accurate fee calculations and payments per contractual and prospectus terms, including monthly 12b-1 and Shareholder Service Fee processing.
- Monitor intermediary system access to client records.
- Maintain the integrity of mutual fund data in DTCC's Mutual Fund Profile Service II database.
REQUIRED QUALIFICATIONS
- 15+ years of expertise in transfer agent operations, intermediary services, and distribution.
- Profound knowledge of mutual fund setups, operations, intermediary platforms, and adept at applying intricate regulatory guidelines for operational choices (e.g., SEC, FINRA, NSCC).
- Proven leadership and relationship management skills.
- Strong knowledge of transfer agency systems, intermediary data feeds, and CRM platforms including SS&C suite of products.
- Excellent communication, negotiation, and critical thinking skills.

- Proven ability to deliver clear, compelling oral and written presentations to diverse audiences, including senior leadership and external partners.
- Demonstrates strong financial competence in managing annual operating and capital budgets.
- Highly organized and diligent, with a proactive and self-motivated approach to problem-solving.
- Collaborative approach with a track record of growing in team-oriented environments.
- Flexible and adaptable, with a positive attitude toward change and the ability to manage shifting priorities and workloads.
Base Pay Range: $150,000 - $165,000 Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary internal peers, prior performance, business sector, and geographic location.
