We are currently seeking an Accounts Payable Administrator to join our Boart Longyear team in West Valley, Utah. The individual in this role will support the end-to-end procure-to-pay process through accurate invoice intake, routing, matching, and payment preparation. This role maintains vendor records, resolves routine discrepancies, and provides responsive service to internal teams and suppliers.

Responsibilities



  • Manage end-to-end invoice processing: intake, routing, accurate coding, and 2/3-way PO/receipt matching; clear holds and missing receipts.
  • Prepare and process payments (check, ACH, wire) on schedule; optimize terms/discounts and prevent late fees.
  • Serve as the escalation point for vendor inquiries; resolve discrepancies and disputes while maintaining strong supplier relationships.
  • Collaborate with Procurement, Receiving, and other teams to clear variances and keep processes running smoothly.
  • Reconcile the AP subledger to the general ledger, clear reconciling items, and support month-, quarter-, and year-end accruals.
  • Maintain complete AP documentation; produce aging and cash-requirements/forecast reports and other periodic AP reports.
  • Enforce policies and internal controls, mitigate AP risks, and provide required documentation for internal and external audits.
  • Upload AP data from Oracle to analyze banking, payment errors, and invoice bookings.


Minimum Qualifications



  • High school diploma or equivalent required; an associate's or bachelor's degree in accounting, finance, or a related field is a plus.
  • 1-3 years of experience in accounts payable or general accounting.
  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.
  • Familiarity with general ledger systems and accounts payable processes.
  • Attention to Detail: Strong accuracy, self-management and organizational skills.
  • Communication: Excellent verbal and written communication abilities.
  • Problem-Solving: Proactive in resolving discrepancies and managing vendor relationships.
