POSITION SUMMARY:

The Massachusetts (MA) Executive Office of Health and Human Services (EOHHS) has procured a network of regional Behavioral Health (BH) and Long-Term Services and Support (LTSS) Community Partners (CPs). Under the direction of the Director of Community Partners Program or other designee, the Operations Coordinator is responsible for coordinating projects, maintaining operational workflows, and facilitating communication between teams, while also handling administrative tasks like record-keeping and reporting.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Manages program operations workflowsaddressing process issues and challenges, finding solutions to ensure smooth workflows and identifying opportunities for improvement and streamlining.

  • Ensures all CP program reporting requirements are accurate and timely, resolving any errors or updates related to EOHHS deliverables, including quality assurance and technical issues.

  • Manages, tracks, and resolves day-to-day issues for ACOs, the MCO, and CP Providers, as well as requests from EOHHS as appropriate.

  • Oversees project timelines, sets deadlines and tracks progress.

  • Collects, compiles, and synthesizes program data into reports ready for dissemination to ACOs, CP Providers, and EOHHS.

  • Facilitates communication between departments, teams, and stakeholders, and ensuring information flow, including minute taking as needed.

  • Provides coverage for incoming referrals and enrollments as needed. Other duties as assigned.

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:


  • Bachelor's Degree in Business Administration, Project Management, or related field

  • 3+ years program operations and/or project/program management or equivalent combination of education and experience


PREFERRED EDUCATION AND EXPERIENCE (If none, please enter "N/A")

  • Experience with the MassHealth Community Partners Program

KNOWLEDGE, SKILLS & ABILITIES (KSAs) (If none, please enter "N/A"):


  • Proficiency with Microsoft Office, in particular Excel, and other data entry processing applications

  • Proficiency with project management software, such as Visio and Monday.com preferred

  • Demonstrated ability to work independently, manage multiple projects simultaneously, facilitate cross-functional teams, and consistently meet deadlines

  • Excellent organizational and project management skills

  • Strong analytical and problem-solving skills to identify and resolve operational issues and challenges

  • Excellent collaborative and proven process improvement skills

  • Detail oriented, excellent proof reading and editing skills

  • Strong oral and written communication skills; ability to interact within all levels of the organization as well as with external contacts

  • Familiarity with relevant software and tools for scheduling, communication, and reporting

  • Understanding of analytics/IT processes in order to facilitate workflows and processes between teams
