Position Summary |
Sponsored Projects Administration, Pre-Award is the central pre-award or sponsored projects office at the University of Georgia. The office manages a portfolio of approximately 2,500 awards annually, totaling more than $441 million in FY21. Work is considered highly professional and technical, involving the review and processing of research and other types of grant proposals, negotiation of awards and contracts, and a variety of post-award non-financial administrative duties (no-cost extensions, amendments, compliance, problem-solving, etc.) The incumbent will join several other research administrators in
SPA.
This employee focuses on administrative support and maintaining a caseload of outbound sub-awards and subcontracts spanning a group of
UGA departments, colleges, centers, or institutes. Highly professional customer service drives all activities in
SPA. The employee will promote application of uniform guidance, sponsor rules and regulations, and
UGA policies and procedures as it relates to sub-award and subcontract preparation, and provide assistance to faculty, staff, and graduate students in this regard. The employee will manage a caseload, engage in data entry in UGAMart, and the Grants Portal, and liaise with other institutions of higher education on behalf of the University and the Research Foundation. |
Knowledge, Skills, Abilities and/or Competencies |
Grants Assistant I
- Manages a work queue of sub-awards and subcontracts honoring all performance metrics, with appropriate processing times with a high level of supervision.
- Under close supervision, would communicate with faculty, unit, and sponsors after receiving guidance from supervisor and provided those communications involve standard questions/concerns/recommendations.
- Strong commitment to excellent customer service and the ability to engage in data entry, respond to customers, faculty, and co-workers with high levels of supervision and the assistance of a mentor.
Grants Assistant II
- Manages a work queue of sub-awards and subcontracts honoring all performance metrics, with appropriate processing times with a moderate to low level of supervision.
- Engages in supervised communications and would gradually begin communicating independently with faculty, unit, and sponsors after receiving guidance from supervisor and provided those communications involve standard questions/concerns/recommendations.
- Strong commitment to excellent customer service and the ability to engage in data entry, respond to customers, faculty, and co-workers with moderate to low levels of supervision and the assistance of a mentor.
All Grants Assistants (I-II)
- Attention to detail and strong computer skills allow for high volume data entry into multiple electronic systems.
- Ability to establish and maintain effective working relationships with university personnel.
- Ability to communicate effectively, both orally and in writing, directly with PIs and other UGA personnel about a limited array of research administration topics.

- Assembles sub-award and subcontract packages based on documents and data provided by Grants Specialists and Grants Officers in compliance with federal, state, and sponsor rules and regulations as well as UGA policies and procedures.
- Initiates these sub-awards/subcontracts on behalf of the University of Georgia and the Research Foundation and issues the same to subrecipients for signature.
