Coordinates work schedules and assignments based on the needs of the department. Identifies and addresses gaps in performance and provides performance feedback through routine coaching sessions in collaboration with MA Supervisor. Works as a member of the team to ensure target metrics for the department are met. Provides feedback to supervisor or manager for yearly performance reviews and participates in the disciplinary process as directed by supervisor or manager. Provides substantial and valuable feedback in process evaluation and department meetings and huddles. Works to resolve patient and employee complaints by investigation and liaisons with other resources and departments to ensure resolution. Performs medical assistant duties in addition to overseeing the team. Primary Responsibilities:
- Performs all cross-functional duties of a Certified Medical Assistant as required or directed
- Assists manager/supervisor in assuring that assigned employees are provided with appropriate resources, materials, and methods
- Achieves and retains Preceptor status. Provides training and support to all members of the site/department on the procedures and current software. Including keeping up to date on Epic upgrades and assisting superusers with training as needed
- Identifies and corrects unsatisfactory conditions that may arise within the scope of the position and notifies the manager/supervisor or others of any discrepancies
- Participates in Medical Assistant interviews and maintains knowledge of behavioral interviewing techniques. Makes candidate selection in conjunction with supervisor/manager
- Builds staff schedules with a working knowledge of the needs of the practice and the allocation of resources to avoid disruptions in service in person or on the telephone
- May update Payroll records through delegate access. Maintains knowledge of People Team policy and procedures that govern time and attendance including FMLA, Mass Sick and PTO/unscheduled time use
- Relays work instruction from the manager/supervisor. Distributes and monitors the flow of work for an assigned group of employees. Ensures smooth patient flow. Ensures area is covered to meet patient needs as required or directed. Provides recommendations to manager/supervisor for the most efficient utilization of assigned employees
- Provides manager/supervisor with input into performance evaluations, employee schedules, new hires, etc.
- Participates in a variety of special projects such as reviewing workflows, coverage, etc., as required or directed
- Partner with MA Supervisor on Practice Health and Safety audits
- Assist preceptor in training new employees. Complete final sign-off on staff clinical skills competency
- Conduct rounding as directed
- Audit exam room expiration dates and weekly logs
- Monitor for problems arising on the floor and provide solutions
- Serves as a role model for other staff members. Displays behaviors and attitudes consistent with ensuring the ideal patient experience
- Floats to different sites as required or directed
- Maintains open communication with all members of the healthcare team. Works as a clinical team member to provide quality, timely service to patients. Works with the team, providers, and manager/supervisor to continually improve patient flow within the department
- Participates in staff meetings, gives input and feedback during meetings
- Utilizes patient care equipment appropriately and safely. Incorporates the proper requirements in operating department-specific equipment to provide safe patient care
- Participates in orientation and staff development activities as requested
- Complies with health and safety requirements and with regulatory agencies such as DPH, etc.
- Complies with established departmental policies, procedures, and objectives
- Enhances professional growth and development through educational programs, seminars, etc.
- Attends a variety of meetings, conferences, and seminars as required or directed
- Performs other similar and related duties as required or directed
- Regular, reliable, and predictable attendance is required

- High school diploma or equivalent
- Successful completion of medical assistant school/program or equivalency exam
- Medical Assistant Certification
- Successful completion of Basic Life Support (BLS-CPR) or completed within 90 days of the date of hire for positions in direct patient care areas
- Knowledge of office and laboratory procedures
- Knowledge of a variety of software applications such as Microsoft Outlook, Word, etc.
- Proven ability to demonstrate leadership, task delegation, and work coordination of a team
- Proven ability to think critically and exercise sound judgment and manage multiple priorities and deadlines
- Proven excellent organizational, communication, and interpersonal skills
Unless certification, licensure or registration is required, an equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed in this description, may be substituted for the above requirements. Preferred Qualification:
- 2+ years of experience in an ambulatory care setting
