Position Highlights |
The College of Medicine-Tucson is seeking two Office Assistants to perform a variety of administrative duties while supporting the Medicine Administration offices at the front desk. The successful candidates will be competent in using a variety of computer software programs; have high proficiency and comfort in multitasking; possess a strong customer service orientation; have strong oral and written communication skills; and demonstrate a high capacity to respond to requests in a timely manner with diplomacy and discretion. This position will serve as a point of contact for many in and outside of the college, and it is imperative that all are treated with respect and feel welcome. This is a fully in-person position that requires performing a variety of clerical duties, including, but not limited to, making copies, filing, ordering office supplies, and conducting necessary errands. This role is not eligible for flexible work arrangements. Duties & Responsibilities |
- Responsible for maintaining a welcoming environment for the College of Medicine employees and patrons at the front reception desk.
- Answers and directs call to appropriate persons or takes messages from the callers.
- Greets visitors and directs them to the appropriate person; notifies the appropriate person of visitors' arrival, as needed.
- Independently answers inquiries and provides information or assistance to callers and visitors, as needed.
- Maintains the functionality and organization of the front reception area, copier/mail room, and conference rooms.
- Receives, date stamps, separates, and distributes incoming mail or other materials to work unit members; determines appropriate receiver based on the subject of correspondence or mail.
- Helps coordinate college wide events.
- Helps the Dean's office with projects, as needed.
Knowledge, Skills, Abilities:
- Skilled in Microsoft Office programs and databases.
- Highly developed people interactive skills.
- Ability to work independently within scope of position.
- Knowledge of standard office policies and procedures.
- Skilled in developing and maintaining good working relations.

Minimum Qualifications |
- High school diploma or equivalent, or equivalent learning attained through experience required.
- Minimum of three (3) years of relevant experience.

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims.
