Your Tasks
- Provide administrative support for various projects across departments, ensuring efficient project execution.
- Assist in planning and coordinating administrative aspects of projects, including preparing and organizing documentation and tracking timelines.
- Support project management by checking project status and outstanding tasks required for project closure.
- Serve as a liaison between project teams, stakeholders, and clients; organize and facilitate meetings, prepare agendas, take meeting notes, and follow up on action items.
- Maintain accurate and up-to-date project files, records, and documentation, ensuring all necessary documents are stored and accessible.
- Coordinate administrative project-related tasks, including project status, opening, closing, and invoicing.
- Assist with monitoring project budgets, tracking expenses, and ensuring financial documentation is accurate and up to date.
- Identify and recommend ways to improve administrative processes related to project execution, documentation, and communication.
- Track project progress and key performance metrics.
- Address administrative challenges during project execution and assist team members in overcoming logistical obstacles.
- Support event planning, ordering laboratory and office supplies, and coordinating with vendors.
- Support engineering teams with purchase orders for equipment calibration and scheduling.
- Set up and close out projects in PSE; assign projects to handlers and ensure timely project invoicing.
- Enter purchase requisitions in the TUV SUD system and communicate delivery dates to customers.
Your Qualifications
- Associate's degree in business administration, management, or a related field (or equivalent work experience).
- 1-2 years of experience in administrative support or project coordination, preferably in a project-based environment.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and project management software (e.g., Asana, Trello, or similar tools).
- Attention to detail and ability to maintain accuracy in record-keeping.
- Ability to work well both independently and in a team, maintaining a positive and collaborative approach.
- Self-starter with a positive outlook and motivated attitude.
- Professionalism, integrity, and respect in all interactions.
