About the Job

The Academic Program Coordinator will oversee undergraduate education coordination for GCD and BMBB, manage BioGEN Fellowship tasks, and provide programmatic assistance for BMBB and MCDB&G. This role will support the BioGEN Center with administrative duties, contribute as a collaborative team member, and provide backup assistance to ensure smooth and uninterrupted operations

Duties and Responsibilities:
1. Academic Coordination (80%)
* Undergraduate Education Coordination:
Train and oversee undergraduate program coordination for BioGEN, including managing classroom reservations, entering courses into CourseDog, and tracking and granting permission numbers.
* Fellowship Coordination:
Administer BioGEN Fellowships by working with fellowship recipients, grant administrators, and PIs to ensure accurate and timely reporting and appointment of fellows.
Work with HR teams to enter fellowship appointments, manage pay changes, and terminate outgoing fellows.
Submit tuition and health insurance documents for fellows, working with BioGEN accounting to track expenses.
Track matriculation of fellows using the NIH XTrain and xTRACT systems.
Work with BioGEN pre-award team to collect and format data required for training grant submissions and renewals.
* Graduate Program Assistance:
Support BMBB and MCDB&G Graduate Program Coordinators with event coordination, document preparation, material updates, and purchasing.

2. Administrative Support for BioGEN Operations (20%)
* Assist with day-to-day administration, including purchasing, front office management, scheduling, meeting agendas, and marketing materials
* Update and maintain the BioGEN intranet and websites.
* Collaborate with team members to develop and streamline best practices, guidelines, and procedures.

Qualifications

Required Qualifications:
* BS/BA or combination of education and experience to equal at least 4 years.
* Proficiency in relevant software applications: Google Workspace, Canva, MAC and PC Operating Systems, Adobe, and Microsoft Office
* Strong organizational and communication skills and the ability to prioritize tasks independently.
* Experience with university systems such as CourseDog, Purchasing, HR Systems, and XTrain, or a willingness to learn.
Preferred Qualifications:
* Experience in higher education or academic program coordination.
* Familiarity with HR processes and fellowship administration.
* Strong interpersonal and communication skills
Work Environment:
Hybrid position with no less than three-days on site

About the Department

The BioGen Administrative Center provides administrative services to the Department of Biochemistry, Molecular Biology, and Biophysics and the Department of Genetics, Cell Biology and Development. Finance, human resources, administrative and grant pre-award staff members work in teams to support faculty, staff and students in these areas.

Pay and Benefits

Pay Range: $26.44 - $33.66/hour; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
