Position Highlights The University of Arizona Innocence Project (UAIP) seeks applicants for the position of Intake Coordinator and Case Management Lead to oversee and implement UAIP's case-related operational procedures and systems.

The UAIP Clinic is a year-long, for-credit clinic at the James E. Rogers College of Law in which upper-level law students work under the supervision of UAIP faculty and attorneys to investigate and litigate cases of wrongful conviction in Arizona.

The Intake Coordinator and Case Management Lead will oversee UAIP operations, including intake, case management, litigation support, grant management, and community engagement.

This position is a year to year appointment, expected to be contracted for two years. This position is grant-funded. Continued employment is contingent upon the availability of funding and satisfactory performance.

Duties & Responsibilities
  • Oversee UAIP's multi-stage intake process
    • Develop criteria and systems for identifying and evaluating cases
    • Build and maintain reporting systems to track case data and progress
    • Implement policies and practices to increase the efficiency of the intake process
    • Oversee clinic support staff's mail processing and file management, and ensure conflicts checks are performed
    • Respond to incoming requests for assistance or information regarding UAIP's review process
    • Collect and organize documents for the initial case review process
    • Assign cases to attorney/student teams and track all case assignments
  • Provide case management for all UAIP cases
    • Update and maintain electronic case files, including tracking outstanding records requests, uploading records as they are received, and maintaining the organizational structure of files
    • Utilize CLIO software system to update case activity and data tracking
    • Assist attorneys and clinic students on case investigation, including managing engagement with outside experts
    • Assist in the orientation and onboarding of clinic students and volunteer attorneys
    • Ensure all processes and procedures, templates, and handbooks are up to date
    • Submit and track public records requests
  • Provide legal teams with litigation support
    • Prepare and file memos, motions, petitions, exhibits, etc.
    • Draft, edit, and mail outgoing correspondence to applicants and clients
    • Arrange legal visits
    • Keep clients and families informed of key dates and filings.
    • Ensure all case data and case activity is up to date in the project's case management software
  • Assist the Director with grant management
    • Track data and program deliverables for all UAIP grants
    • Prepare and submit grant program reports and financial reports.
    • Track grant spending
    • Engage with BJA and other grant partners to promote implementation of UAIP grants
  • Engage with the community to promote UAIP's mission
    • Coordinate with the Director on event initiatives
    • Assist in the implementation of community events
    • Engage with the Innocence Network on key matters and assist the Director with coordinating legal teams and legal interns for the Annual Network Conference

    Knowledge, Skills, and Abilities

    • An understanding and ability to articulate the mission, legal work, accomplishments, and goals of UAIP
    • Ability to work independently without close oversight, but also a team player who is able to work collaboratively with others
    • Strong leadership abilities, time management, and ability to set and meet deadlines
Minimum Qualifications
  • Bachelor's degree required
  • Previous experience interacting with donors, volunteers, and community leaders

Preferred Qualifications
  • Previous experience in Non-Profit work
  • Previous experience in a Law Office
  • Experience being fluent in information management and case management software
  • Experience with the criminal justice system
