Judicial Court Assistant

Washington County, located in West Bend, Wisconsin has an excellent opportunity for a Judicial Court Assistant within our Clerk of Courts Department. This position is responsible for assisting the Clerk of Circuit Court in the discharge of the duties of the office by providing support services to the Circuit Court system and Family Court Division.

Position Summary: Under the general supervision of the Chief Deputy Clerk of Circuit Court, responsible for assisting the Clerk of Circuit Court in the discharge of the duties of the office by providing support services to the Circuit Court system and Family Court Division.

Duties/Responsibilities: The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.
*Prepares and assists with the calendar for the Circuit Court Commissioners and Circuit Court Judges, including court hearings, conferences, and meetings.

*Clerks in court for various case types, prepares court minutes of proceedings heard by the Circuit Court officials; generates Judgments of Convictions; and prepares or verifies received orders resulting from the hearings.

*Reviews court files and paperwork prior to court hearing, verifying the case is ready to proceed to a hearing.

*Compiles and processes files sent to the Court of Appeals.

*Receives, processes, and files a variety of court related and other legal documents; dispenses information to the general public, other County Departments and attorneys in response to telephone inquiries or personal visits.

*Prepares letters or documents of general, technical, and confidential nature.

*Maintains accurate records and prepares reports, when necessary.

*Maintains confidentiality in specific areas as required.

*Performs other duties as assigned, including responding to an emergency event.

Work Direction Received: Works under the general supervision of the Chief Deputy Clerk of Circuit Court. Day-to-day instructions may be given by the Clerk of Circuit Court, Circuit Court Judges, Circuit Court Commissioners, or supervisors in the Clerk of Court's office.

Decision Making: Decisions concerning work priorities and other daily activities, including processing files for the Court of Appeals, scheduling of court hearings, responding to inquiries concerning court procedures, and processing orders are made independently.

Interaction: There is significant interaction with the Circuit Court Commissioners, attorneys, Judges' Judicial Assistants, other Clerk of Court's Office staff, other County Departments, state and federal agencies, and the public.

Essential Knowledge and Abilities: Knowledge of the criminal, traffic, civil, family, and small claims laws in the State of Wisconsin, judicial process, court practices and procedures, legal terminology, applicable state and local laws, rules and regulations affecting the Clerk of Circuit Court office, the courts and specific needs of the Circuit Court Commissioners, as well as general office principles and techniques. Ability to prepare accurate documents and reports, understand and effectively carry out oral and written instructions, maintain and prepare accurate records, communicate effectively orally and in writing, and interact effectively with the public, co-workers, and other county staff. Able to fulfill physical demands of job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).

Training and Experience: High School Diploma or GED and four years of office experience, preferably in a legal setting. Four years of post high school education preferred. A minimum of four years of computer experience with knowledge and experience in Microsoft Word and Excel required. Strong organizational skills required.
