The Department of Physics and Astronomy is one of the largest academic departments in the School of Physical Sciences at UCI. Physics lies at the forefront of our understanding of nature. It includes the study of the universe on the largest scales - astronomy and cosmology, and on the smallest - the physics of quarks and leptons. In addition, physics provides the background for high technology; lasers, nuclear power, semiconductors, and medical imaging all have their roots in physics. At the UCI Department of Physics and Astronomy, world-renowned physicists study exciting topics like quantum mechanics, gravitation, the big bang, black holes, magnetism, and superconductivity. This position will begin full time on-site. After assessing work productivity throughout the six-month probationary period (as applicable) along with satisfactory progress and supervisor approval, the incumbent may request a hybrid/remote schedule that fits within the department's business needs.


Your Role on the Team

The Department of Physics and Astronomy in the School of Physical Sciences at UCI is recruiting an Undergraduate Program Coordinator. This position, in consultation with department management, uses professional concepts in drafting department schedule for courses, seminars, and special events, taking into consideration faculty leaves, preferences, and faculty course load, classroom availability, and enrollment figures.

Reviews schedule of classes to ensure it meets the needs of students for degree progression. Independently obtains classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office. Works with undergraduate students taking Physics and Astronomy courses on enrollment matters.

Oversees the Department of Physics and Astronomy Student Affairs front desk including staffing and scheduling of undergraduate student workers. Manage and assist with department events, seminars, and special events as needed, as well as assist with website and social media maintenance.

Essential Functions:
Drafts schedule of courses to be offered each term based upon a provided course listing, enrollment trends, and faculty availability. Sets up enrollment limits, seat reservations, and other course restrictions. Works with other departments to set up cross-listed and room-shared courses. Using judgement and discretion, independently obtains classrooms for courses taking into account the requirements and restrictions of the campus scheduling office, past enrollment trends, instructor preferences, equipment and facility needs, department and campus needs. Provides information to faculty and visiting instructors about scheduling procedures and practices and enrollment needs. Prepares and submits course approval forms to the Committee on Courses of the Academic Senate when the department proposes additions, changes, or withdrawals of courses. 50%

Advises undergraduate students taking Physics and Astronomy courses on enrollment matters and provides department management with data and statistics on enrollment trends. Manages student enrollment for efficient use of classroom space and resources, and ensures students are enrolled based upon established priorities. Administer, coordinate, analyze, and report on quarterly evaluations. 20%

Responsible for Student Affairs front desk operations and coverage, including the recruitment, supervision,
performance management, and development of departmental undergraduate assistants 20%

Assist with the full cycle of planning and implementation of department events, seminars, and special programs
as needed. This includes managing all aspects of logistics such as scheduling appropriate meeting spaces,
catering, securing supplies, managing RSVPs, maintaining/managing websites and promotional content, securing
all necessary approvals, and processing all paperwork, invoices, and reimbursements. 10%

Knowledge Skills and Abilities (KSAs)
Knowledge of common University-specific computer application programs. Preferred
Knowledge of department, organization, and University policies, procedures, and directives. Preferred
Knowledge of department and school / college general and major course requirements. Preferred
Interpersonal skills to work with department senior management, faculty, and students. Required
Ability in problem identification, reasoning, analysis to identify trends. Required
Ability to find solutions to conflicting situations. Required

The expected pay range for this recruitment is $26.53- $31.13 (Hourly).
