The Opportunity:

We are seeking an approachable and adaptable Administrative Assistant who will warmly welcome and direct visitors, students, faculty, and staff to the College of Graduate Studies. This role is the first point of contact and requires professionalism, courtesy, and a calm demeanor in a high-intensity environment.

Responsibilities:


  • Greet and assist visitors, ensuring a positive and welcoming experience.

  • Answer and direct incoming calls, emails, and walk-ins promptly and efficiently.

  • Manage front desk operations and handle a high volume of visitors with ease.

  • Provide administrative support to the Dean's Office, including preparing documents, compiling records, and organizing information.

  • Coordinate mail and email distribution and assist with ad hoc projects as needed.

  • Perform moderately complex administrative functions of the unit.

  • Utilize MS Outlook to handle correspondence and maintain communication, including preparing updates and keeping budget spreadsheets current. Ensures administrative and procedural processes are upheld in a timely manner.

  • Maintain strict confidentiality at all times.

  • Act as the liaison for department and building facility needs, submitting and tracking facilities tickets to ensure timely resolution.


Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • 4+ years in a customer service, administrative assistant, or office support role.

  • Experience in higher education.

  • Proficient with Microsoft Office Suite and Canva.

  • Experience with PeopleSoft, Slate, and Voca.

  • Able to anticipate needs and handle sensitive situations with professionalism and discretion.

  • Able to adapt quickly to changing priorities and situations.

  • Skilled at multi-tasking in a fast-paced environment while maintaining composure.

  • Strong problem-solving abilities to address challenges effectively.

  • Highly organized and detail-oriented.

  • Professional, courteous, and calm under pressure.
