About This Position
This is a hybrid position based in Oldsmar, FL requiring at least 3 days in office weekly with the balance working remotely from home. Relocation assistance available. Procurement Manager, Field Support and Implementation's role is vital to improving operational efficiency and supporting the operations team through data-driven insights and proactive problem-solving. By focusing on regional communication, process streamlining, and training, this position is designed to drive performance improvements while ensuring compliance and consistency to designated regions. Key responsibilities include overseeing Managed Order Guides (MOGs) and product lists to ensure compliance, providing centralized training resources, and supporting informed decision-making. The role also involves regular engagement with the field to resolve issues, proactively address challenges, and drive performance improvements across regions. Essential Functions, Duties, and Responsibilities
- Work with the Sourcing and Category team to ensure there is an accurate and up to date database of relevant products to ensure cost-effective, consistent, and optimal procurement decisions.
- Operate the Service Now Procurement ticketing system to respond to field issues in a timely manner, catalog and analyze field input to determine where medium and high impact service issues are reoccurring in a data-driven fashion. Work with Distribution and Sourcing to refine identified processes for efficiency, compliance, and adoption by the field.
- Support audit of Trinity Services Group's Managed Order Guides (MOGs) for primary correctional broadliners, identified secondary vendors (i.e., US Foods, Sysco, etc.), and direct programs (RJ Schinner, Produce Alliance, Food Concepts) to verify products are accurate, relevant, and aligned with market best practices.
- Utilize tools and reporting to review regional spend, identify cost-saving opportunities, and redirect rogue spend to approved suppliers.
- Utilize Finance reporting to enforce food cost concerns among the field. Ability to elevate to Senior Procurement Manager - FS&I and/or VP of Procurement for additional support.
- Employ established, transparent processes to upper-level field management (such as RVP approval of "MOG Exception" process) to circumvent off MOG spending to drive compliance.
- Proactively address fluctuating market conditions and potential price increases with regional field leadership and present RVP approved plans to mitigate impact in order to maintain budget.
- Utilize reports provided by Distribution and Compliance to review slow-moving products, dead stock, and auto-shipments to optimize inventory.
- Support field managers with procurement resources, including issue resolution, problem-solving, and maintaining accurate records.
- Participate/lead regional calls as the Procurement team representative. Engage the group in discussions and recommendations regarding opportunity analysis, cost reduction, program compliance, training topics amongst others.
- Create and distribute regional communications.
- Oversee procurement program training and onboarding sessions for new units or accounts to ensure effective implementation of established programs.
- Utilize content created in conjunction with Distribution and Category Management for emergency management calls to support field operations during major weather events or natural disasters.
- Communicate key details set forth by the Dieticians and Sourcing teams to meet holiday/special meal requirements and coordinate ordering process with the field.
- Assist with special projects as needed.
- Maintain current knowledge of food and nutrition procurement laws, rules, and regulations to ensure compliance. Proactively support any food recall/withdrawal response by communicating quickly and completely to affected units and leadership to ensure proper disposition of product and any necessary follow up.
- Attend regional meetings and trade conferences to stay informed about field needs and industry trends and best practices.
- Other duties as determined by the needs of the business.
What You'll Need
- Bachelor's degree in business, Purchasing Management, Supply Chain, or professional certification in Purchasing; three years procurement experience in the food service industry, or an equivalent combination of education and experience is required.
- Considerable knowledge of the practices, procedures and regulations relating to institutional food service.
- Ability to establish and maintain effective working relationships with food distributors, clients and associates.
- Ability to organize and prioritize workload.
- Ability to express ideas clearly, orally and in writing.
- Strong planning, research, communication (written and verbal) and presentation skills.
- Proven negotiation and time management skills.
- Strong computer skills; working knowledge of ERP systems.
- Excellent analytical skills and very detail oriented.Ability to develop and interpret MS Excel spreadsheets.
- Experience using Power BI for data visualization and reporting.
- CPM or CPSM is not required but considered a plus.
- Strong negotiation skills with track record of savings and success.
- Ability to managing multiple projects and changing priorities.
