Job Description

Elwyn seeks a Director of Operations to assist the Regional Director of the North Carolina Region Programs in providing a positive, rewarding, service-oriented environment for individuals enrolled in our care and staff that is consistent with Elwyn's mission, visions, values and commitment to service excellence.

ESSENTIAL DUTIES & RESPONSIBILITIES

Operations Management

  • Collaborate with Regional Director in providing support to program leader and staff in managing daily operations. Provide cross-functional coordination with Elwyn's business partners and department to ensure seamless operation and communication.
  • Demonstrate a working knowledge of relevant standards, contracts agreement, regulatory guidelines as well as Elwyn's policy and procedures. Complete monthly audits in all service areas and programs to ensure compliance for survey readiness.
  • Serve as lead in all survey/audit preparation and committee meetings. This includes vehicle audits, specific quarterly monthly response drills and facility specific monthly fire drills and programs. Collaborate with RD on corrective action plans in providing resolution to identify deficiencies. Communicate finding with program leadership and provide written reports to RD.
  • Facilitate training and support to staff on all platform requirements as well as employee's orientation, onboarding, and credentialing.
  • Ensure accurate data management by running periodic reports (e.g., incident reporting, non-compliance, corrective action plans), as needed, and directed by the Regional Director; collaborates with the Regional Director and Quality Improvement (QI) via frequent updates to ensure stakeholder satisfaction and to drive performance within program services.
  • Monitor and oversee referral/census tracker for all regional programs to ensure compliance with referral and intake requirements.
  • Facilitates crisis management and emergency situations as appropriate, utilizing agency-trained protocols and available resources including local police and fire department, and emergency services to ensure that all necessary documentation and relative crisis management plan are adhered to,
  • Reviews critical incidents (e.g. fall/risk assessment, adverse reaction to medication, sudden illness). Provides QI timely follow-up, and communication to RD and the appropriate program lead. Perform fact-findings as required to take appropriate action and /or improve program operations and outcomes.
  • Work in conjunction with RD to review and develop plans of correction regarding licensure, certifications, and other monitoring reports, as needed, in coordination with QI, funders, and other stakeholders
  • Assist the RD in the implementation of new technology in coordination with the Information Technology team (i.e., electronic health record, electronic medication administration record, and external care provider portals).
  • Provides on call support in person or via phone call as needed
  • Performs other duties as assigned

Training, Education, and Professional Development

  • Collaborate with the QI Director, Sr. Director of Professional Development, Sr. Director of Business and Clinical Integration and RD with specific training initiatives to ensure completion and that documentation is provided to employee files, as needed
  • Participates in ongoing educational opportunities as identified by the RD
  • Attends professional association meetings to obtain updated licensing, regulatory, and/or clinical information; applies new information learned to enhance best practices and clinical operations at Elwyn

QUALIFICATIONS & SKILLS

  • Bachelor's degree in a human services discipline including but not limited to Behavioral Health, Psychology, Public Health, Public Administration; Master's preferred
  • Five (5) years' of demonstrated experience with increasing managerial responsibility in adult behavioral health or social service field
  • Experience working with those suffering from psychiatric illness, emotional instability
  • Demonstrated experience developing and overseeing adherence to program budgets
  • Knowledge of applicable regulations and guidelines in:
    • Managed Care Organization (MCO) guidelines
    • Commission on Accreditation of Rehabilitation Facilities (CARF) standards
  • Experience working in a fee-for-service program
  • Demonstrated ability to work effectively as part of a team
  • Ability to work with multiple, demanding stakeholders with unique priorities
  • Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities and work collaboratively with individuals at all levels of the organization
  • Demonstrated strong attention to detail
  • Demonstrated excellent planning, analytic, time management, and organizational skills
  • Demonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervision
  • Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
  • Must possess excellent customer negotiation, interaction, collaboration, presentation, conflict resolution, interpersonal, and written and verbal communication skills
  • Demonstrated intermediate proficiency in the use of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; knowledge of cloud-based groupware, collaboration, and storage computing solutions preferred
  • Experience with Electronic Health Record (EHR) / Electronic Medical Record (EMR) preferred
  • Current CPR certification with ability to perform CPR and first aid, using agency-trained protocols; ability to perform safe crisis management
  • Must possess a current, valid driver's license in state of residence, have a minimum of two (2) years of driving experience within the United States, and have an acceptable driving record.
