Safety and Regulatory Associate REPORTS TO: STATUS: Exempt SALARY/PAY RANGE $38,000 - $42,000
PURPOSE AND SUMMARY STATEMENT
The Safety and Regulatory Associate provides essential administrative and organizational support to the Safety, Environmental & Regulatory Manager in the coordination and implementation of Heritage FS's safety, environmental, and regulatory compliance programs. This role assists with documentation, training coordination, recordkeeping, and internal communications to help ensure that Heritage FS continues to meet applicable regulatory standards and internal safety goals. ESSENTIAL JOB FUNCTIONS
Support and maintain DOT and safety-related employee records, ensuring all required documentation is accurate, up to date, and that each employee holds the appropriate credentials for their assigned role. Assist the Safety, Environmental & Regulatory Manager in maintaining and updating required safety and regulatory plans, such as Tier II reports, Risk Management Plans (RMP), Emergency Response and Action Plans (ERP/EAP), Hazard Communication Program, Respirator Protection Program, DOT Security Plans, Spill Prevention, Control, and Countermeasure Plan (SPCC), Confined Space Entry Program, Lockout Tagout Program, Spill Reporting and Response, Job Hazard Analysis Plans, and Repacking Reports. Assist with scheduling and conducting site inspections to ensure compliance and safety at all locations Assist in the creation of site-specific DOT shipping documentation to ensure regulatory compliance and accurate transport records. Assist in coordinating and completing employee training programs - forklift Support the communication and distribution of safety plan updates to employees as directed by the Safety, Environmental & Regulatory Manager. Assist in preparing, organizing, and maintaining a calendar of key compliance dates, reports, licenses, and permits, ensuring timely submission and renewals. Coordinate and track required training for employees, maintain up-to-date training records, and help schedule safety training sessions. Maintain the safety and compliance record-keeping system, including managing credentials and required documentation through Safety Culture, and assist with the accurate entry and management of safety-related data. Help ensure company vehicles, offices, and facilities have appropriate documentation on file as required by DOT, OSHA, DOA, EPA and insurance providers. Utilize Microsoft Office programs such as Excel, Word, PowerPoint, Outlook, and Teams to organize and track materials, maintain documentation, and create training materials
OTHER JOB FUNCTIONS Participate in regional safety and compliance meetings as needed and help implement guidance and materials provided by GROWMARK's Safety and Insurance Services Department. Participate and provide administrative support, including detailed note-taking and documentation during Safety Committee Meetings Provide administrative support for regulatory correspondence and maintain relationships with local regulatory and service agencies under the direction of the Safety, Environmental & Regulatory Manager. Support company-wide adherence to Heritage FS's Code of Conduct, corporate compliance program, Environmental Health & Safety standards, and applicable DOT and OSHA regulations. Performs all other duties as assigned.
REQUIREMENTS
High school diploma or equivalent required; associate degree in Occupational Health & Safety, Environmental Science, or related field preferred. 1-2 years of experience in an administrative, safety, or compliance-related role preferred. Strong attention to detail, organizational skills, and the ability to manage multiple priorities. Proficiency with Microsoft Office Suite (Excel, Word, Outlook); familiarity with Safety Culture or other compliance management systems is a plus. Effective written and verbal communication skills. Ability to maintain confidentiality and professionalism in handling sensitive information. Must have and maintain a valid driver's license and clean driving record. Must have the ability to travel independently and overnight. Ability and willingness to work extended hours as business conditions warrant.
